Job Description Summary
In this capacity, the Project Coordinator will work closely with the Fire and Emergency Services team members to help drive projects through to completion. The individual will be responsible for reporting progress to the Chief of Fire and Emergency Services, coordinate appropriate scope of tasks to project team members, ensure quality of deliverables and program care and report any deviations to the Chief, communicate with stakeholders during project development to ensure their expectations are being met or exceeded, and guide task progress with and regularly report progress to leadership at the appropriate intervals.
Project coordination: Under the guidance of the chief of fire & emergency services and subject matter experts, plan and organize fire safety and emergency preparedness programs, (eg. crisis management action plans, drill coordination, construction projects, life safety system tracking, license and permits requests, database management, accreditation and con-ed management, emergency equipment tracking, website management, departmental and divisional goal tracking, special events, technological advancement, etc.) * Liaise with safety specialists, Penn community members, outside agencies and vendors.Â Communicate with project management team to ensure progress on deliverables that meets the team's deadlines.* Organize and summarize information collected via discussions, surveys, and research.* Coordinate logistics with staff, Penn community and outside agencies. *Edit and manage distribution of training program materials.*Manage follow up and provide analysis.
Minimum of a BA/BS in a relevant discipline and/or 3-5 years of experience and knowledge directly related to an equivalent combination of education and experience required. Knowledge of the purpose, function and operations of fire safety and emergency preparedness is a strong plus. Demonstrated project and time management skills are necessary; must be able to work independently and with minimal supervision. Outstanding organizational skills and the ability to function in a team environment are required. Qualified candidate must also demonstrate excellent written and verbal communication skills; advanced computer software skills; a clear attitude of customer service; must be able to work in a fast-paced environment with time sensitive deadlines and competing priorities; the ideal candidate will have very strong analytical and critical thinking skills, and the ability to build and maintain positive working relationships at all levels of the institution.
