BASIC FUNCTION AND RESPONSIBILITY

An effective, sophisticated auditions/interview experience for applicants, faculty, and staff
An impactful Campus Day experience for admitted students. Serve as an influential recruiting representative for SMTD.
This position reports to the SMTD Assistant Director for Admissions. Some out-of-town travel is required in the summer and fall, and may include weekends. Some overtime hours during the height of the admissions season, December-February, will be required.
Schedule Music, Musical Theatre, and Dance Auditions & Interviews (November-March)
Collaborate with faculty to define audition/interview scheduling parameters. Build events in digital Auditions database to efficiently deploy these requirements, consulting Admissions BSA as needed.
Negotiate for needed space and arrange the master schedule for each audition day.
Communicate audition/interview dates and appointments to applicants, explain student preparation expectations as needed, and share audition/interview schedules with faculty and offices involved.
Facilitate pre-screening evaluations in cooperation with faculty; communicate results to applicants and counselors.
Coordinate 20+ audition days, helping staff, faculty, and volunteers to present the SMTD in the best light.
Secure rental spaces for 3 days of Chicago Musical Theatre auditions.
Compile reports for year-end statistics for all 2,300+ SMTD auditions and interviews.
Monitor and keep audition and travel expenses on assigned budget.
Auditions Support (November-March)
Hire and train a full-time, seasonal auditions support staff member. Delegate and supervise work.
Collaborate with Dance and Theatre departmental staff for audition and interview events.
Supervise creation and distribution of promotional materials and emails to applicants and their families regarding the audition experience.
Supervise the distribution of evaluation materials, both digital and hard-copy, to all faculty committees.
Collaborate with Parking Operations for annual contracted services.
Provide input into hospitality program for audition day visitors.
Admissions: Prospective and Incoming Students (March-November)
Coordinate program offerings and lead SMTD participation in “Campus Days”, a visit program for admitted prospective students. Communicate visit dates and appointments to applicants and share schedules with faculty and offices involved. (March-May)
Coordinate SMTD Student Ambassador program, a current student program for assisting audition and Campus Day needs (October – April)
Meet with prospective students and their families to explain School and University admissions policies and procedures and answer questions on academic programs, auditions, applications, and campus life. (March-October)
Travel and represent the School at college fairs, recruitment visits, and receptions. Participate in discussions on additional recruiting efforts. (May-October)

Participate in the advancement of the Applications & Auditions database, and the Slate Artistic Profile interface, consulting Admissions BSA as needed.
Update the SMTD website with audition dates, requirements, and other information as necessary.
Experience in or understanding of the performing arts
Demonstrated interpersonal skills, to include high-level service skills and the ability to work collaboratively in a team environment is necessary.
Must be able to plan, organize and manage a large workload, with excellent attention to detail and a strict timetable. Demonstrated sophisticated skills in the use of cross-platform information management, through integrated databases (e.g. FilemakerPro), Excel, and unique vendor software.
Demonstrated ability to manage detail with accuracy.
Required multi-tasking skills.
Ability to work nights, weekends and evenings when required.
An understanding and appreciation of higher education and the diverse cultures within the University is essential. Demonstrated ability to exercise a positive service-oriented attitude, initiative, and follow-through in all work. Requires the ability to exercise sound independent judgment and employ sophisticated reasoning skills.
Bachelors and/or master’s degree in the performing arts.
One or more years of experience working in music admissions, financial aid, and/or music recruitment. One year or more experience in data analysis, database design, functional programming, and/or object-oriented programming.
