The Administrative Assistant Senior provides comprehensive administrative support and project management for the Adult Emergency Services (AES) Nursing Services; and applies deep knowledge of the principles, concepts and methods of budgeting, scheduling, payroll, HR processing, and policy and procedure drafting.
Assist the Clinical Nursing Director with nursing finance reporting and transactions. Including but not limited to continuing education, recognition, tuition support, account reconciliation, and resource utilization and expense. Identify outliers and create mitigation strategies.
Serve as resource for nursing contract language and HR guidelines related to scheduling and time keeping. Manage nursing employee relation issues within scope of practice. Assist in moderate to complex employee relation issues as delegated by the Clinical Nursing Director.
Demonstrate mastery of nursing contract language to complete all aspects of four week nursing schedule development and implementation for 215.9 FTE.
Demonstrate mastery of nursing contract language to complete all aspects of biweekly payroll including timekeeping in One Staff, verification of appropriate pay in MPathways and Finance BI, employee follow-up, and payroll adjustments.
Perform data retrieval and analysis for nursing quality metrics. Identify and report gaps in performance to nursing leadership team.
Prepare, maintain, One Staff trend reports such as unscheduled absences, OA/OT, on call usage, and other ad hoc reports as requested for Clinical Nursing Director review and action.
Pre-screen applicants for AES nursing positions and recommend candidates for interview. Coordinate interview and selection process. Prepare offers in HRIS. Maintain contact with candidates throughout the hiring and onboarding process.
Create and maintain nursing personnel files in compliance with applicable legal, Magnet and Joint Commission standards. Perform annual audits and report any issues/concerns to the Clinical Nursing Director.
Track staff turnover, budgeted/filled FTE, FMLA and leave of absences.
Coordinate the performance evaluation process. Maintain time line to ensure evaluations are completed by due date, distributing evaluations tools to the employee and tracking completion.
Perform all Human Resource transactions for AES nursing.
Participate in lean and process improvement initiatives. Provide project support for teams and committees to include scheduling, communications, attendance, data collection, data analysis and minutes.
Create and update nursing policy and procedures related to areas of responsibility, to include Mbox refresh.
Lead and/or support special projects.
Coordinate complex calendaring and travel for the Clinical Nursing Director and Nursing Supervisors including exercising judgment about setting priorities.
General supervision is received from AES Nursing Services Director. Independent judgment and discretion in the execution of responsibilities is exercised.

Bachelor degree in business administration, healthcare administration or an equivalent combination of education and experience.
Four or more years’ experience in an administrative role with progressive responsibility and independent decision making.
Excellent written and verbal communication skills, strong interpersonal skills, and excellent problem-solving skills.

Ability to analyze, compare, evaluate various courses of action making independent decisions within scope of duties and ability to exercise judgment in deferring escalating issues to management team

Must be able to work independently with minimal supervision and as part of a large team.
Proficient use of Excel, Microsoft Word, PowerPoint, Visio and experience in data entry and reporting.
