Reporting to the Program Administrator in the Harvard College Writing Program, the Staff Assistant III provides daily administrative and web support for the Harvard College and Harvard Summer School Writing Programs, which together are staffed by 60+ teachers and serve approximately 2500 students per year. The Staff Assistant III will:
Report to the director of the Harvard Summer School Writing Programs during the summer.
Answer telephones, distribute mail, inventory and order office supplies, renew subscriptions, and oversee maintenance of office equipment (photocopiers, fax, telephones, and printers).
Provide customer service in the reception area: greet and direct visitors, and answer visitors' questions.
Create and maintain annual job applicant database; request and manage applicants' supporting materials.
Contribute to the summer administration of the Writing Test, a placement exam administered to 1600+ incoming students: field questions from students via email and telephone; prepare, disseminate, manage, and collect various tracking spreadsheets.
Manage transfer students database; gather, organize, and distribute transfer students' materials.
Liaise with FAS Classrooms to schedule appropriate classrooms for all Expos Studio 10, Expos Studio 20, Expos 20, and Expos 40 courses offered during the regular academic year (approximately 150 courses).
Provide clerical support for various digital projects.
Provide assistance with logistics for special events: communicate with large planning committee; coordinate advertising; reserve rooms; organize A/V materials.
Provide assistance to one or two Writing Program faculty with logistics for their community engagement courses: coordinate field trips and/or trainings for students; do event planning for end-of-semester capstones; coordinate advertising; reserve rooms; arrange photography or video of course activities for Program publicity.
Perform layout and design, as well as editing and proofreading of Program documents and publications; work with HUIT and various Harvard offices to produce and deliver electronic and print promotional materials.
Prepare invoices and manage reimbursements for faculty travel and research.
Implement updates to Program's websites.
Work some weekends and evenings.
Perform other duties as required.

2 years administrative experience. Education beyond high school may be substituted for work experience.
Must have excellent organizational skills with meticulous attention to detail; excellent written and oral communication and interpersonal skills; ability to work independently, with supervision, and as part of a team. Proven ability to work with faculty, staff, and students, and to manage multiple, competing projects and deadlines in a fast-paced environment. Ability to handle confidential information with discretion. Advanced proficiency with MS Office (including Excel and PowerPoint), email, Internet, website, and desktop publishing. Proficiency with multimedia software desired. Preferred: experience working at Harvard and familiarity with Harvard financial systems.
