Job Summary: Under general direction of the Fire Chief and Assistant Fire Chief, provides executive administrative support services on matters that are sensitive or complex in nature and requires a high level of confidentiality/discretion, analytical skill, independence, and initiative in execution and implementation.
This position has independent responsibility for complex Fire Department business operations including but not limited to: policy research and development, performance management process coordination, business process design and implementation, social media and web content management/strategy, committee support, and project management. Ensures the operations of the Office of the Fire Chief are organized and carried out with a high level of quality using a great deal of independent decision making.
Physical Demands: Sit at computer for extended periods of time (6-8 hrs. per day).
Move/manipulate supplies and equipment of various weights (up to 25 lbs.) using a cart and/or hand truck.
Work Environment: Travel between on and off campus locations.
Valid California Driver's License required.
Work occasional overtime and on weekends to meet operational needs. May be required to participate in departmental community education events, i.e. Fire Prevention week, Picnic Day, etc.
May be required to occasionally work during hours other than normal business hours to support the Incident Command Structure established during emergency and non-emergency incidents.
Employee is personally responsible for following safety guidelines/processes.

Minimum Qualifications: Experience in an administrative role performing supporting managers in a fast-paced, customer-oriented office environment with competing demands.
Experience managing complex electronic calendars and schedules.
Experience with planning special events and coordinating meeting logistics.
Experience editing grammar, spelling and punctuation to produce letters, memos, reports, press releases and to update website content.
Skills and experience in use of the Microsoft Office application suite, including but not limited to Outlook, Word, Excel, Power Point, Publisher, Visio.
Exceptional writing, editing, and proofreading skills to produce correspondence and other written materials;
Critical thinking and problem solving skills, resourcefulness, independent judgment and discretion to gather information and develop meaningful solutions.
Strong organizational, project management and process design/implementation skills with impeccable multi-tasking abilities.
Preferred Qualifications: Knowledge of campus policies and procedures to interpret inquiries and requests to formulate appropriate action or response.
Possession of a Bachelor's Degree from an accredited college or university.
Experience with project management programs such as: Monday.com, Asana, or Freshdesk.
Experience in marketing, branding, graphic design, and social media communication strategies.
Experience working in an office support role in an academic or government agency.
Experience with products in the Adobe Creative Cloud suite of programs.
