The Facilities Services Supervisor is responsible for developing and maintaining operational excellence in all aspects of building operations as it relates to facilities management, audio/visual technology, and event execution for Palmer Commons. The person in this position must demonstrate and ensure that operations staff deliver superior customer service to conference guests, building tenants, and all users of the facility and its services. This individual is also responsible for developing and executing training programs for all the Student Building Managers and Welcome Desk assistants; as well as setting expectations and making sure the students are provided adequate development and learning through their work experience.
The position works closely with the General Manager of Palmer Commons, Event Services, UM Facilities and Operations, Building Services Custodians, Preferred Caterers and additional campus partners to ensure best customer services to event clients and guests.
Management of Staff (45%)
Provide direct supervision to student Welcome Desk Assistants (~20), as well as Student Building Managers (~8).
Determine and ensure adequate staffing levels for each workday based on event schedules.
Oversee and participate in the recruiting, hiring and training of student employees in accordance to the University of Michigan Diversity, Equity and Inclusion guidelines.
Assess and establish the training and development needs of student staff related to their job responsibilities and ensure a learning experience consistent with Student Life learning objectives and Palmer Common’s mission and values.
Developing and execute training programs for all Student Building Managers and Welcome Desk staff. Set training and performance expectations. Ensure students are provided adequate development and learning through their work experience.
Provide support and assistance in event preparation as needed.
Resolve issues regarding work performance, staffing levels, etc.
Facility Planning and Management (45%)
Closely collaborate with members of Palmer Commons approved caterer providers, contracted food service staff, faculty, tenants and guests of Palmer Commons to assure quality facilities and services.
Manage and maintain safety/security systems and emergency preparedness procedures including serving on BIRT for the facilities.
Serve as the primary liaison with UM Facilities and Operations, Building Services and Grounds, and Pest Management.
Plan and coordinate facility upgrades and yearly maintenance work.
Serve as Manager on Duty during assigned shifts, act cross-functionally to insure the quality of all services to guests and departments coordinating and directing food and beverage, audio visual and facilities staff as necessary.
Collaborate with Planet Blue personnel to increase sustainability and energy conservation efforts.
Coordinate and track daily, periodic and preventative maintenance for the facility and its contents including but not limited to in-house food service equipment, inventories and asset management with staff and other support units and make recommendations of expenditures for those areas.
Make purchasing recommendations regarding all AV and Tech equipment and furnishings. This also includes some furniture purchases such as tables/chairs and other small furnishings.
Consult with and provide advice to Events staff in planning Audio Visual needs for large or unique events and ensure that requested equipment is available.
Maintain knowledge of trends and future facility equipment innovations or standards and create annual purchasing plan an associated budget.
Provide guidance for facility and event capital projects, installation and implementation.
Manage the facilities key system.
Oversee the digital signage system.
Other duties as assigned.
Financial/Budgetary Responsibility (10%)
Oversee and develop the annual budget for all areas of responsibility, analyzing and monitoring expenditures on an ongoing basis.
Assist in the preparation of billings and statistical reports related to facilities usage.
Manage the purchasing, inventory, and upkeep of event operations equipment, supplies and furnishings.
Analyze staff payroll and report on it on a timely and accurate basis.
Education: Bachelor’s degree or an equivalent combination of education and/or experience.
Experience: 2-5 years of experience coordinating daily operations of a complex facility including facilities management, conference operations and event planning. This must include management experience and coordination of event setup and AV operations.
Demonstrated success as a team oriented and solution driven leader demonstrated organizational skills plus experience with fiscal management.
Working knowledge of daily and periodic custodial techniques and the proper use of cleaning equipment and supplies.
Working knowledge of multimedia and sound reinforcement equipment, streaming and remote meeting needs as well as testing and troubleshooting techniques for all AV equipment, hardware and software.
Functional experience with Crestron/Extron systems, EMS software, Bluejeans video conferencing, and distributed AV systems.
Additional Skills/Training: Current on applicable certifications, including but not limited to CPR & First Aid, Techniques in Alcohol Management and Planet Blue Ambassador.
