SWANA seeks an energetic professional to fill the role of Certification and Training Coordinator. Reporting directly to the Sr. Manager of Certification and Workplace Training, the Coordinator provides overall technical and logistical support to the Certification and Training functions, and provides daily high-quality support to SWANA members, current and prospective certificate holders, training participants and other industry professionals.
Administer the certification process, including, but not limited to, the processing of applications (new, renewals, extensions, late/reinstatement), CEU submissions for SWANA and non-SWANA events, and payments; production and distribution of renewal notices; verification of application documentation; and the creation and distribution of certificates.
Enter and maintain the accuracy of records and information related to Training and Certification in various systems, among them, iMIS and BaseCamp.
For all external training and examination events:
Collect and process raw evaluations.
Receive returned examinations; copy, ship and transmit completed examinations and answer sheets to the third-party scoring contractor, as needed; record examination results in the database when received; record and mail test results to all training course participants.
Digitally file completed training and testing materials.
Monitor and process requests for service via the online testing site Captus.
Monitor, maintain and update Certification webpage content as needed.
Conduct research as requested to support Certification program.
Provide scheduled and ad hoc certification reports.
As directed, adhere to, update and maintain Certification records and Standard Operating Procedures.
Maintain and process continuing education credit forms for all training events, including Chapter and non-SWANA events.
Set up and monitor online registration for training events.
Provide support for contracted training, including preparing and ordering materials, executing shipments and processing expense reports to ensure delivery, security and implementation of training/testing center.
Assist department with training contracts and reporting efforts.
Maintain inventory of hard-copy training coursebooks and exercises, ensuring version control; ordering more coursebooks, as needed; conducting inventory audits on regular basis and reporting the same to Accounting Department at the end of the fiscal year (June 30).
Conduct research as requested to support Training.
Provide scheduled and ad hoc training reports.
As directed, adhere to, update and maintain Training records and Standard Operating Procedures.
Deliver exceptional customer service by replying to all inquiries within one business day, assisting customers directly whenever possible by providing complete and accurate information, or redirecting to the appropriate department or personnel, as appropriate.
Handle certification- and training-related telephone and email inquiries.
Track incoming customer service requests and their disposition.
Always communicate with tact and professionalism.
Maintain confidentiality of all sensitive and private information.
Perform Other Duties as Assigned
Two-year degree from accredited college or university.
One year of experience in data entry, management and reporting.
One year of experience in customer service capacity.
Strong MS Office proficiency, particularly Excel, and demonstrated ability to learn new software, such as association management systems, customer relationship management systems and collaboration tools.
Preferred Knowledge, Skills and Abilities
Knowledge of iMIS or other association management systems.
Knowledge of HubSpot, SalesForce or other customer relationship management systems.
Knowledge of BaseCamp or other project management/collaboration tools.
Interest in and/or knowledge of continuing education and credentialing practices and processes.
Experience working in Certification or Training.
Experience working in a nonprofit and/or association setting.
Interest in and/or knowledge of general solid waste industry terminology.
