Rutgers, The State University of New Jersey, is seeking an Administrative Assistant for Mason Gross School of the Arts. The two central organizational duties for this position are operating as a coordinator for course scheduling for all undergraduate and graduate courses, and working directly with the Director of Facilities about all room assignments and space usage.
Among the key attendant duties of this position are the following:
Provides general office administrative support to the undergraduate program and central office of the Department of Art & Design by assisting with the coordination and administration of programs. projects, and/or processes along with the preparation and control of records, statistics, reports and documents.
Supports Program administrators with Department Special Events (Gallery, Mason Gross Presents, Across Greater Rutgers campuses) and Admissions Events (Grad and Undergrad).
Serves as Preparer in Marketplace and Expense Management
Serves as Preparer for Time and Labor and the Coordinator for Timesheets
Assists with swipe access and parking requests
Helps coordinate Sophomore and Junior reviews for all BFA students
Minimum Education and Experience:
Requires a Bachelor's degree in a related field, or an equivalent combination of education and/or experience.
Required Knowledge, Skills, and Abilities:
Requires relevant experience in an administrative function, excellent communication and interpersonal skills, and computer literacy.
Highly organized with exceptional planning and administrative skills.
Excellent communication skills.
Competency with MS Office and email.
Candidate should be flexible with the demands of a dynamic work environment, a quick learner, comfortable with a fast-paced office where multitasking is essential to the flow of the department.
Knowledge and/or administrative background in educational contexts is preferred.
