Corporate Services Description
The Corporate Services division in Asia is responsible for the daily office operations of 56 locations across 13 countries with a portfolio of over 2 MM Square foot. Standard office hours are 0900 to 1800 hours, but coverage is extended on a 24 x 7 basis as required to meet the Firm's needs. Corporate Services' strategic plan is to anticipate and provide the space and supporting services for internal business units. The organization employs a matrix management structure with specific office needs delivered by local management and the functional teams support the local management by providing expertise across seven major areas:
Real Estate and Location Strategy manages Real Estate strategy, Workplace and Design, and Real Estate Business Intelligence (BI) Solutions
Portfolio & Transaction Management is responsible for Portfolio Management, Lease Administration and Transactions Management
Property Management consists of Project Management, Design/Engineering, Property Services and Employee and Guest Services
Travel responsible for corporate jets and management of the Firm's relationships with airlines, hotels, ground transportation vendors and the corporate card program
Corporate Information Management is comprised of Business Information Services & Analytics, Reprographics Services, Mail & Distribution Services, Records Management Services, Translation Services, Presentations, Design, and Print Management Services
Corporate Security and Investigations is responsible for physical protection of employees & facilities, crisis management, client & supplier due diligence, employee screening, as well as internal or external investigations
Office of COO supports Corporate Services and the Firm through financial management, client engagement, risk management, communication protocol, staff training/development, sustainability, vendor management and transformation, and process/technology improvements
Regional Client Services oversees CS functions within the regional branch offices, support the Global Inhouse Center site management, as well as the Regional Office Incentives Management
The Asia Finance Officer is a senior finance representative within the Office of COO team and is responsible for establishing a strong finance management governance to support the various Asia business functions. Corporate Services Asia manages a significant budget for Morgan Stanley and the 3 main types of cost within Corporate Services are:
Direct Expense – The operational cost to run Corporate Services as a business
Space and Occupancy (S&O) – The largest of managed cost Corporate Services managed for Morgan Stanley as a business. S&O includes real estate rent, capital expenditure, repair and maintenance.
Managed Spend – Other than S&O, cost that Corporate Services managed for Morgan Stanley. This includes Travel expenses; Cost relating to information management such as printing, distribution, destruction and archive; and Security and due diligence related cost.
The role has the following principal areas of focus:
Governance and Reporting o Follow the cost governance process to provide oversight and guardianship towards cost management o Provide consistent governance across all functions from budget preparation to contract commitment to payment approval and reporting o Carry out financial risk assessment studies and procedural evaluations aimed at forming an independent assessment on cost management
Budget and re-forecast o Work with the various Corporate Services functions to develop budget o Partner with FCG to review budget o Co-ordinate globally with other regional COO finance teams to finalize budget o Carry out regular re-forecasting activities
Tracking and Reporting o Work with the various Corporate Services functions to perform regular tracking and reporting on all finance matters o Work with the functions to review variance and provide explanations which leads to actions to control and manage the actual spending o Escalate and communicate appropriately on spending against budget o Develop benchmarking with the various functions to enhance their cost management activities o Maintain strong relationship with external peers / competitors / industrial groups to provide insight into up to date trends, systems, regulations and best practices on cost management relating to Corporate Services' commodities. o Co-ordinate globally with other regional COO finance teams to report on spending against budget o Manage the production of the Asia Transparency (Transparency is a BU focused report aims to provide our BU with a comprehensive view of the cost elements CS manages on their behalf) reporting and support CS management in the BU engagement
o Lead, guide and develop the COO finance team o Collaborate with the global COO finance team and support initiatives across the regions to enhance the overall finance manage for Corporate Services o Partner with Financial Controller Group (FCG) to support overall CS financial management activities o Provide independent support for all the Corporate Services function in finance governance o Provide support to CS management in business partnering initiatives o Act as a senior member of the COO team to provide coverage on other elements of COO activities as required

Additional potential responsibility (candidate who has capability/interest in sustainability management would be at an advantage):
o Lead the Asia Sustainability Committee to drive the "Sustainability at Work" programme o Responsible to work with the various CS functional representative to deliver environmental sustainability initiative such as energy saving scheme, waste reduction/recycle programme, carbon footprint mapping, water conservation, etc. o Partner with global COO sustainability lead to track and report on progress o Support the functional teams in sustainability performance review, reporting and benchmarking exercise o Lead the employee engagement programme for CS sustainability initiatives and work with Corporate Communication on the execution
Prospects for this position will have demonstrated the ability to manage and interact with staff at all levels in the Firm. Accordingly, the individual must be an accomplished businessperson and a proven leader capable of building a cohesive team and constructing persuasive proposals for improvements across diverse functional teams.
The successful candidate will have 12 or more years of pertinent business experience with a proven track record of consistently exceeding performance goals and managing operations in a demanding business environment. The ideal candidate would have financial / management accounting experience for a multi-national firm with knowledge of the financial industry. In addition, it would be beneficial if this individual has experience working abroad or with multi-national firms and has a wide range of industry contacts.
Course of study: Financial management qualification, banking or financial institutional experience. An undergraduate degree is required, a post-graduate degree is a plus.
Language: English fluency is required.

PC skills: Microsoft applications (Outlook, Excel, PowerPoint, and Word)
