The Office Support Assistant is responsible for textbook requisitions and communications, and entering textbook orders into the Ratex inventory management system. This position maintains internal textbook databases, processes incoming orders, communicates directly with faculty regarding their textbook orders, and assists with customer service counter responsibilities.
The position reports directly to the Buyer/Manager - Textbook Division.
Responsibilities 75% Course Adoptions • Print on-line textbook requisitions and check information on the on-line campus’ class schedules • Contact faculty to confirm/correct information on text requests • Process text requests and enter them into the Ratex textbook ordering system • Process digital course packets and respond to customer inquiries. • Communicate with faculty regarding textbook ordering procedures, deadlines, and troubleshooting • Maintain databases of faculty authorizations & department mail/phone lists 15% Assist with customer service responsibilities as needed. • Process digital course packets and respond to customer inquiries • Balancing, cash room duties, open/closing duties • Assist with Rental return communications 10% Other duties as assigned
Essential Functions of the Position • Train staff in customer service and product knowledge. • Plan and organize operations in the textbook area. • Provide excellent customer service.
Work Environment Work is performed mainly in a retail store setting with some office/computer work.
This position is covered by the AFSCME Clerical Union.
Minimum Qualifications • High School Diploma/GED and one year of related office and administrative experience. Training/education may be substituted for some of the years of experience. Computer experience required. Specific knowledge/skills may be required. • Basic computer skills and knowledge • Familiarity with a University or academic setting. • 1 year customer service • Experience with the Ratex POS and Inventory Control System
