The Business Services Analyst position assists in project management, data/financial analysis, and reporting for the Department of Medicine (DOM), Johns Hopkins Bayview Medical Center, and School of Medicine. The position aligns operations to meet the needs of patient care while also supporting the educational and research missions of the Department.
The DOM maintains approximately 185 inpatient beds at Johns Hopkins Bayview Medical Center, discharges approximately 11,000 patients and sees more than 70,000 ambulatory visits. With a direct reporting relationship to the Sr. Administrator/Assistant Dean and project accountability to Division Administrators and the Finance/Operations Administrator, the Business Services Analyst is responsible for performing project management, research, and financial analysis in support of the Chairman’s Office, Vice Dean Program Office, as well as Divisions within DOM. The position will supervise interns and residents as well as coordinators and analysts. This job includes presentation and participation in executive meetings and leadership forums.
The incumbent will coordinate at the Divisional, Departmental, and Hospital Executive level to advance the tripartite mission of research, education, and patient care. Sharing expertise and collaborating closely with a broad spectrum of individuals across the Hopkins enterprise, this position has a far-reaching impact touching patient care, business development, system integration, data analytics, quality improvement, and more.
Specific duties & responsibilities:
Work with education, clinical, and research areas to meet operational targets and to help develop, implement and maintain performance improvement initiatives
Assist in the development of business plans, financial analyses, market analyses, and other service analysis to evaluate and support strategic initiatives.
Develop, implement and evaluate comprehensive project plans for identified opportunities – establish project goals, objectives and outcomes as needed, secure leadership support and endorsement, determine a project timeline to accomplish identified goals with milestones, consider organizational needs by identifying necessary resources, and work with a team of project participants
Lead, facilitate, and support meetings and committees as appropriate.
Work collaboratively with physician, nursing and care management leadership to provide effective, efficient and patient-centered care in the Department’s clinical care settings
As applicable, assist in the development of volume, expense and capital budgets—and corrective action and performance improvement plans—for the DOM’s Johns Hopkins Bayview Medical Center operations.
Routinely assess patient throughput (e.g., length of stay, discharge barriers, procedure/test delays, boarding hours, and referring hospital wait times) and, in partnership with Case Management, Social Work, Nursing Administration and faculty leadership, utilize process improvement methodologies to enhance and optimize performance and desired outcomes.
Engage and partner with other department administrations to develop inter-departmental throughput and capacity solutions for Department of Medicine patients.
Assist faculty and nursing leadership in the communication and implementation of existing, new and/or revised administrative policies, guidelines and protocols involving patient care operations.
Assist in the coordination of Department response to internal disasters (e.g., flooding, facilities issues, etc.) and external emergencies (e.g. severe weather, international incidents, etc.)
Assist in the development of strategies to maintain and improve compliance with all appropriate regulatory and accrediting bodies (e.g. HSCRC, The Joint Commission) in all areas of operations, including personnel management, facilities, workflows, etc.
Ad hoc/short term operational projects as assigned.
Utilize Outpatient/Inpatient Operation systems and databases (EPIC, IDX, DataMart, Case Mix, CCUB, and MedVitals) to develop and maintain clinical reports detailing access performance, volumes, provider utilization, patient satisfaction, financial performance, safety, compliance and other pertinent decision support tools and management reports. Communicate reporting trends to Departmental and Divisional Leaders.
Prepare timely and accurate ad hoc analysis/reports such as staffing level, physician productivity, space utilization, access/capacity, new clinical practice initiative, business plans, professional fee and hospital billing assessments and payer mix etc.
Make recommendations to leadership based on data that is analyzed and develop presentations
Assist in the development of the annual Departmental budget and projection. Responsible for assisting in control of established budgets by overseeing loading of budget, reconciling budget information and changes, and extracting and analyzing financial data to assist in management of the Department’s JHU & JHB operations
Perform comprehensive financial analysis relating to business plans to improve Departmental financial effectiveness and compliance with JHU, JHH and/or agency regulations and restrictions
Assist in developing business plans for revenue enhancement or new lines of business. Evaluate the financial performance of existing programs and create financial performance reports. Develop financial proposals for programs as needed.
Oversee Joint Administrative Agreement including monthly transfers, reconciliation and changes.
Partner with at least one Division to maintain consistency of financial practices as well as implement/maintain a vision of overall DOM financial goals.
Expectation to investigate and perform constant financial improvement/projects in areas of interest.
Train new and existing finance staff to complete monthly financial reporting requirements and the annual budget. Meet routinely with Department and Division leadership to share financial results, discuss areas of improvement, and propose plans to address weaknesses.
Minimum qualifications (mandatory):
Bachelor’s degree in Health or Business Administration, or other related field required. Master’s degree preferred, and may substitute for some experience, to the extent permitted by the JHU equivalency formula.
Three years of related experience required. Understanding of operations and analytical management as usually acquired in 3-5 years applicable experience. Working knowledge of information systems, budget cycle, communication skills, plus advanced analytical ability to analyze complex reports.
Special knowledge, skills, and abilities:
Requires the ability to compile, analyze and interpret patient /physician data. Must be able to present and format data and technical information for various end users. Must have solid project management skills. Ability to make independent judgments and to act on decisions on a daily basis. Ability to work for long periods of time without direction. Ability to prioritize own work and work of staff as needed. Ability to work with flexibility on several tasks simultaneously and to meet various concurrent deadlines. Excellent communication and customer service skills with the ability to work well under pressure.
