The Executive Assistant is a new role at Alternatives that reports directly to the Executive Director and provides support to all members of the Executive Team. Ideal candidates will be innovative, solution-focused, driven and ready to help Alternatives grow!

Completes a broad variety of administrative tasks for the Executive Director (ED) including, but not limited to: managing calendar appointments; composing and preparing correspondences; and organizing and compiling documents for meetings.
Communicates directly with Board members, donors and other stakeholders on matters related to the ED’s initiatives.
Researches and follows up on incoming issues and concerns addressed to the ED, including those of a sensitive or confidential nature.
Prioritizes conflicting needs, handles matters expeditiously and proactively, and follows through on projects to completion, often with deadline pressures.
Participates as an adjunct member of the Leadership Team including scheduling, attending meetings, preparing agendas and taking minutes as needed.
Arranges all Board meetings in a timely manner including the collection of all relevant materials for the Board members, setting up conference lines, and taking minutes.
Responsible for maintenance and integrity of agency employee records to ensure required documentation is current and accurate. Ensures compliance with the policies of the Agency as well as Federal, State, Local, and other regulatory agencies. Reviews all records to determine missing or outdated documents.
Conducts routine audits to ensure agency employee documents are current and accurate, including but not limited to employee licensure/certifications, Driver’s license, Insurance information and transcripts.
Assists hiring managers in preparing new hire packets, scheduling interviews and completing other onboarding activities.
Assists in the development, communication and implementation of personnel policies and procedures.
Resource Development and Marketing
Supports the ED with individual donor cultivation including scheduling meetings, site visits, and drafting letters.
Creates communications and presentations: Quarterly ED newsletters, PowerPoint presentations, letters and documents for stakeholders.
Researches topics for monthly newsletter, web site updates, and social media messages as needed.
Coordinating logistics of special events by partnering with the event committee members.
Leads the preparation for agency audits; creates action plans for resolution.
Provide support, as needed, related to internal evaluation, such as the development of outcome frameworks, implementation of data collection systems, data analysis, and reporting.

Bachelor’s degree required
Minimum three years of administrative experience required
Strong organizations skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Demonstrated ability to organize and manage the progress of large projects.
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, Board of Directors, external partners and donors.
Excellent writing and verbal communication skills
Demonstrated proactive approaches to problem-solving with sound decision making capability.
Demonstrated ability to achieve performance goals and meet deadlines in a fast-paced environment.
