Job Description Summary
The Continuing Education Program Manager will provide project management direction and support for all continuing dental education programs offered by Penn Dental Medicine Office of Global Affairs & Continuing Dental Education.
The Continuing Education Program Manager will oversee all planning and implementation for assigned credit and non-credit continuing education programs, which includes, but is not limited to: publicity (print, mail and online formats), venue selection, accommodations, catering, staffing as required, registration and payments, exhibitor/sponsorship, conference program and giveaways, audio visual coordination, transportation, and social events. The Continuing Education Program Manager will manage course/conference documentation processes to ensure compliance with ADA CERP criteria, including, but not limited to: assessment of professional needs and interests, educational objectives, and evaluation/assessment of course content, instructor effectiveness and administration.
Other responsibilities include:
Serving as the on-site owner during program delivery to ensure that all details are carried out correctly.
Working with service providers to ensure that program operations are of high quality.
Coordinating guest speaker travel, accommodations, payment off expenses and honoraria in compliance with University Policies and Procedures.
Communicating with participants and sponsors providing commercial support with instructions and information concerning their participation.
Developing program web pages for use in distributing program information, including logistics and materials.
Managing program expenses so that they are aligned with the established budget for each course/conference, including negotiating with suppliers to provide cost-effective services; managing budgets as required by entities providing commercial support of courses and conferences; and managing accounts payable and receivables
Ensuring educational materials and instructors are independent of commercial interests; ensuring commercial support is compliant with ADA CERP standards (and with the standards of other governing bodies if offering multiple types of continuing education credits, i.e., continuing medical education credits) and University Policy.
Directing all program compliance and records management efforts to ensure alignment with State Board of Dentistry licensing and continuing education requirements where Penn Dental Medicine offers continuing dental education,
Providing support in maintaining ADA CERP recognition status with the American Dental Association every four years.
A Bachelor's degree with 3-5 years of experience in event and conference planning, as well as customer-facing roles, or equivalent combination of education and experience is required. Â
Experience in university enterprise systems is preferred. Â Must have advanced skills in MS Office Suite of products. Â Must be able to adapt to new technologies. Must be able to prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner. Must be able to use tact, diplomacy, and maintain a high level of confidentiality. Strong writing and verbal communication skills required. Must have excellent interpersonal skills with diverse groups and individuals at all organizational levels, both inside and outside of the University. Must have excellent problem-solving skills and a strong commitment to teamwork. Must be service-oriented and able to maintain a pleasant and helpful attitude.
