Required Qualifications : (As evidenced by an attached resume)
Associate's Degree (Foreign equivalent or higher degree). Two years of progressively responsible, full-time administrative experience. Event planning experience. Experience using Photoshop, inDesign or another similar program.
Preferred Qualifications :
Bachelor's Degree (Foreign equivalent or higher degree) in Marketing, Communications or a related field. Experience creating marketing materials. Website design or website editing skills. Experience using a mass email program such as Constant Contact, Emma, etc). Experience with public speaking and/or conducting training sessions. Experience managing multiple events of varying size and complexity.
Brief Description of Duties:
The Member Relations Assistant for the Osher Lifelong Institute at Stony Brook will be the connection between the membership, the OLLI office and the university. OLLI, a non-credit workshop program on campus for over 35 years, serves a community of members who are retired and over the age of 50. The incumbent will be responsible for all communications and event planning that pertains to OLLI at Stony Brook. The successful incumbent will have excellent customer service and interpersonal skills,
exercising strong organizational and time-management skills with an exceptional
attention to detail. Essential for this role is the adeptness to work independently as well
as part of a team with a collaborative approach to problem solving.
Event Planning : Working closely with the Program Manager, execute any OLLI event scheduled on or off campus. Build, distribute and evaluate all surveys. Foster a positive relationship with the members and work with the volunteer committees to solicit ideas for events to occur in the upcoming year. Send out announcements to members inviting them to register for events and manage the attendance lists. Work with the Program Manager and OLLI Staff to plan and execute New Member Orientation, Workshops Leader Training and other pivotal events. Brainstorming and implementing event plans and concepts. Handle budgeting and invoicing and negotiating with preferred vendors. Keep senior management abreast of event status as needed. Manage branding and communication. Handle post-event reports
Communication : Responsible for communicating to the members via printed and digital publications, University systems or other means of communication:
Send out any University approved committee invitations, announcements or minutes
Communicate to the membership when workshops are cancelled or locations are moved
Spearhead the annual planning of events and working with approved vendors as it relates to contracts.
Responsible for designing semester catalog that will highlight workshops and events
Send out all correspondence on behalf of the office and the membership
Responsible for creating and distributing a weekly OLLI in the Newsletter as directed by the Program Manager
Maintain OLLI website content with the School of Professional Development
Responsible for assisting in the creation of reports based on statistical data in order to help maximize membership growth and program efficiency.
Community Outreach : Implement the annual outreach plan to be put into effect to increase annual membership.Develop detailed plans to recruit new program members. Attend relevant community meetings and events to meet prospective new members. Schedule outreach presentations in the community and communicates with staff on outreach happenings. Develop a consistent presentation for in person and digital outreach. Develop outreach/promotional materials and documents. Maintain relationships with collaborative partners and cultivates new ones. Assist in the coordination of special events surrounding new members
Administrative/Customer Service : Work with Program Manager to effectively administer office policies and procedures. Respond promptly to all program and event inquiries. Keep records of member interactions for accuracy.
Other duties or projects as assigned as appropriate to rank and department mission.
