Job Requisition Number: 27483. The L&S Office of Undergraduate Advising (OUA) provides advising and counseling to new freshmen and transfer admits, currently enrolled and readmitted undergraduate students (approximately 23,000), parents/family, faculty, staff or other administrative units or educational institutions regarding academic programs, policies, procedures and College and University requirements. OUA’s mission is to:

Services provided include individual and group advising, advising via online communication platforms such as Google Hangouts, webinars, online chats, bCourse orientations, and various advising workshops. OUA works collaboratively with both academic and administrative departments across campus.
College Advisers discuss majors, enrichment opportunities, student support and engagement, resources, and College and University requirements. Decisions made by OUA impact all academic units within the College of Letters & Science and set precedence for other colleges on campus.
Planning & Development: •Develops, interprets, implements and administers student academic programs designed to promote students’ academic success in support of OUA’s mission, goals, and student learning outcomes. •Gathers data to assess overall operational management and student service needs; provides analysis used in the development or modification of programs, services, methods of advising, and procedures to improve delivery of services. •Coordinates programs with other advising units. •Formulates policy recommendations, strategic planning (program development, resource acquisition and use). •Oversees administration of program, daily workflow and work procedures. •Provides direction, sets goals, supervises and manages all advising programs and activities. •Participates in the development and monitoring of policies and procedures for Student Services operations. •Evaluates the effectiveness of the student service function, and modifies programs, methods of advising, forms, and procedures to improve service to organizational management, faculty, and students. •Writes annual report on the unit's activities and outlines plans for the next year. •Identifies and communicates critical issues and potential problems to Senior Management team. •Proposes solutions and review for effectiveness and access. •Contributes constructive and innovative ideas to the development and implementation of advising strategies that result from analysis of internal and campus data and research compiled on other colleges and universities. •Ensures the effective use of campus student information systems and departmental databases; recommends system improvements as needed. •Reviews, assists in the development of, and edits material for OUA’s websites.
Program/Project Management: •Plans, develops, and administers student services for identified programs. •Decides which resources will be committed to goals and objectives and how they will be allocated. •Projects include but are not limited to regular reviews of various programmatic efforts in OUA and the implementation of new advising programs and strategies. •Manages administrative projects including but not limited to Adviser Project and Liaison Assignments, Academic Progress, Service Indicator Blocking process, Late Readmission petitions, Golden Bear Advising and Golden Bear Orientation, Strategic Planning, and Academic Difficulty Committee, Media and Communication Team, and Staff Professional Development.
Supervision & Management: •Directs Student Academic Advisors, (8.00 – 12.00 FTE), who are providing the full range of academic advising, requiring comprehensive knowledge of all aspects of academic advising for students and service to department director/deans and faculty. •Develops staff job description. •Oversees recruitment and hiring; recommends employee selection. •Provides orientation, training for new staff and promotes career development. •Works effectively with people from diverse cultures on such issues as performance management, organizational changes, work place climate, and other related issues. •Monitors employee performance, completes yearly performance evaluations, and resolves performance issues. •Explains campus personnel policies. •Responsible for resolution of personnel issues or actions, including corrective action, if necessary, in compliance with applicable campus HR policies and procedures. •Maintains personnel records and schedules leaves according to projected staffing needs. •Organizes the overall work of the unit; identifies and evaluates priorities; delegates or reallocates general responsibilities and specific tasks; establishes or revises operating procedures. •Meets regularly with staff, keeps them informed of changes, policies, and procedures both in the department and across campus. •Recognizes issues that have campus impact or future implications and advises employees accordingly. •Provides guidance, mentoring, and assistance to professional student advisers on the most complex and/or precedent-setting issues encountered. •Promotes a professional, cooperative and team approach within the functioning of the unit and office as a whole. •Collaborates with student affairs supervisors through an established management team environment.
Advising & Dean’s Representative and Campus Outreach: •The Assistant Director serves as the advising resource for faculty, staff, and other campus administrators in relation to complex problems involving undergraduate students, as well as advising students directly on a limited basis. •Using in-depth knowledge and expertise in student affairs, devises solutions that meet individual needs and follow University policies and regulations. •Answers inquiries about academic programs and College requirements for students, parents, faculty, staff and community college personnel, and provides referrals to other campus offices as appropriate. •Serves as a resource person for problematic student records. •Assesses administrative problems that may arise affecting staff or students, investigates alternatives, devises and implements solutions. •Interfaces with campus offices to determine approaches to resolving problematic student issues. •Applies high-level knowledge of student affairs administration and innovative problem-solving skills. •Interprets and ensures enforcement of policies. •Waives requirements and deadlines as authorized by the Dean. •Effectively balances dual role of student advocate and department representative, promoting student success while enforcing policies that protect the integrity of the degree.
Campus Outreach: •Participates on campus committees. •Act as liaison among students, campus departments, and administration in both daily operations and highly sensitive advising situations. •Creates and maintains a network among the student service offices. •Represents the student service unit to the campus community and relevant external constituencies. •Serves as a resource person for the College departments, Offices of Undergraduate Admissions, Registrar and Records, Financial Aid, Cal Student Central, and other student services including Educational Abroad Programs, Berkeley International Office, EOP, UHS regarding the College's programs and policies. •Develops and implements services to enhance department’s outreach to underrepresented students. •Plans and participates in presentations and outreach efforts for new students by speaking to large groups as a representative of the College and the University. •Plans and conducts training sessions with faculty, undergraduate major advisers, peer advisers, staff, alumni, high school and community college counselors, and administrators.
Professional Development: •Maintains and updates working knowledge of student affairs administration by participating in campus organizations, networking with peers, and attending professional association meetings. •Takes appropriate classes/workshops in supervisory, management, or student affairs related topics. •Keeps current with national trends related to undergraduate academic advising as well as best practices in student affairs administration. •Serves on campus committees.•Advanced knowledge of advising and counseling techniques. •Thorough knowledge or ability to learn of campus and College procedures, processes and policies. •Knowledge of strategy development and implementation, data gathering and analysis approaches, and marketing and communication strategies. •Knowledge of student development theory and current trends in academic advising at the university level. •Academic advising experience in individual or group settings. •Knowledge or ability to learn of common University-specific computer application programs such as Word, Excel, and PowerPoint (and web-based advising tools and programs). •Proven managerial skills in monitoring/assessing staff, processes or services, and coaching to make improvements. •Background in strategic planning, assessment and project management skills. •Abilities in problem identification, reasoning, ability to develop original ideas to solve problems, using persuasion and leadership. •Flexibility and adaptability to changing conditions. •Strong verbal and writing skills. •Knowledge or ability to learn of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
Education/Training: •Bachelor's degree in related area.
