This position is in the Faculty Practice Plan, International Patient Care Office . This position is for the Medical School Campus.
Position is responsible for providing pre-arrival and on-site support to international patients and their families. Responsibilities include assisting patients with visa application requirements/documentation, optimizing patients’ experience by coordinating travel, lodging, ground transportation, and any other services as needed for the international patient care office. The position will serve as a liaison between consumers (staff, patients, healthcare professionals and general public) and advocate for the patients' needs. Serves as initial point of contact for referring providers and international patients/families.
PRIMARY DUTIES AND RESPONSIBILITIES:
Manage Patient Referrals, planning all inpatient and outpatient care with providers for consultation, diagnosis and medical procedures. Assist and manage letter of guarantees from embassies and approvals from insurance companies (with assistance from Patient Financial Coordinator/Analyst/Supervisor).
Greets patients and visitors upon arrival to WUMC, shares relevant campus information and provides escort services as necessary.
Assists with questions around patient visa applications and facilitates processes necessary prior to arrival.
Concierge/hospitality services: Coordinate logistics and make recommendations for guest services including but not limited to lodging, transportation, interpreter services, meals, and entertainment. Arranges reservations and obtains/issues tickets upon request.
Responds appropriately to guest concerns or complaints in a timely manner.
Other duties as assigned to support the growth of the international office overall.
Bachelor’s degree is required with a minimum of 5 years’ experience working independently in an administrative position, preferably with supervisory or project management experience.
Strong Customer Service Experience and Relationship Building Experience.
Strong knowledge of financial systems (EPIC or Soarian) and Microsoft Excel (including pivot tables).
Base pay commensurate with experience.
