The Education Department at USC Shoah Foundation works to bring testimony-based education programming, multimedia resources and digital tools to educators and students worldwide that support them in attaining curricular outcomes and promoting the capacity to counter hate in the world. As such, the Program Manager (Head of Project Management) plays a key role in ensuring programs are successfully implemented, monitored and reported on within expected parameters and identified outcomes. The successful candidate will oversee a team of project managers, work within a cross-functional department structure, be able to communicate effectively, and demonstrate sensitivity and good judgment. The candidate will demonstrate experience in project management, communications, editing and reporting. A background in the education field (k-university; Holocaust/genocide studies) a plus. The Program Manager (Head of Project Management) reports to the Associate Director.
The Program Manager (Head of Project Management) oversees all aspects of program management, implementation, monitoring through to completion and reporting. Working within a cross-functional team of project managers, content specialists and content editors, the Program Manager (Head of Project Management) ensures program deliverables are met within the timeline specified and within budget requirements. The Program Manager (Head of Project Management) works closely with team members across groups (domestic and international) to coordinate all aspects of a program, promote buy-in and drive results with fidelity to program outcomes, client satisfaction and ultimately, Department strategic goals.
This position is funded on contracts/grants and/or gifts.
Oversee the execution of all program-related deliverables via program dashboards
Ensure programs and projects are delivered on-time and within scope and budget
Understand and be able to communicate budget parameters for programs, ensure adherence to budget goals and be able to report on progress
maintain all aspects of programs updated and accessible to various audiences via established processes, project management tools and workflows
Train and supervise others and ensure regular capacity-building
Oversee the development of internal/external communications (e.g. digital newsletters, reports, email communications, etc.) for various audiences/purposes: educator network, internal/external stakeholders, vendors
Verbally communicate with various audiences and purpose, including team members, supervisor/leadership, external vendors, partners, educators, students (occasional) and new/potential audiences via outreach work
Conduct outreach to new and existing stakeholders (e.g. educators, students, decision-makers) for sharing information, identifying new training programs, request information/feedback and general communication to maintain relationships and connections
analyzing data to guide outreach using internal databases, public search engines and internal monitoring and evaluation data
Be knowledgeable of Education department program plans, initiatives, strategy
Monitoring and Reporting
Monitor program attendance and contact with audiences
Utilize existing monitoring tools to track program attendance and other points of contact with audiences
Report on program reach/statistics verbally and in writing at designated times and ad hoc requests
Coordinate logistics for programs and other events(e.g. locating and confirming space, catering, materials, etc.)
Coordinate with operations team to ensure to policies and processes
Establish and maintain relationships with external vendors
Work with content specialists on team to ensure all program or event requirements are met
Required Knowledge, Characteristics and Skills (*Must be clearly demonstrated in application materials
3 years (5 preferred) minimum work experience in at least two of the following areas:
Knowledge and background in education field and Holocaust/genocide education preferred
Ability to work with limited supervision
Ability to work closely within cross-functional teams
Research skills (e.g. online, databases, etc.)
Critical thinking skills
Sensitivity and good judgement
Ability to use multiple types of software and tools (e.g. Excel, Smartsheet, Salesforce, One Drive, Outlook)
Demonstrated ability to develop work/implementations plans
Interest and commitment to equity and justice issues
Bilingual competency a plus
Autonomous, self-directed and proactive
Exceptional organizational skills, with an ability to manage multiple tasks and projects simultaneously and thrive in an entrepreneurial, dynamic environment
Strong verbal and written communication skills, including public speaking
Knowledge and skills in online teaching and learning/instructional design highly preferred
2 years of directly-related work experience/3 years preferred
Demonstrated excellent interpersonal, written and oral communication skills.
Demonstrated strong project management skills
Demonstrated proficiency in MS Word Suite required
Demonstrated digital literacy and knowledge
