The Harvard Business School Business and Environment Initiative (BEI) is accepting applications for the role of Coordinator. The Coordinator supports the core activities of BEI and works collaboratively with other administrative departments to leverage HBS resources wherever possible. S/he reports to the Director. Major areas of responsibility include but are not limited to:
Manage event planning such as faculty lunch seminars, alumni events, and student events. Handle logistics such as publicity and marketing, interdepartmental communication, room scheduling, media services, catering, marketing, and vendor management. Where appropriate, memorialize event content by preparing minutes or drafting news stories.
Manage creation and execution of newsletter communications including BEI's Alumni Update, MBA Update, and Faculty Casebook, as well as other campaign-specific communication. Establish schedules and processes to find and edit content, enhance design, and distribute to target audiences.
Maintain and edit BEI's website with comprehensive department/program news and information. Collect, analyze, and report usage metrics.
Advance BEI social media efforts, including active approach to regular Twitter content, coordination and implementation of social media campaigns, and exploration of other avenues for outreach.
Serve as BEI in-house expert on Salesforce database. Work with the HBS Initiatives Manager of Technology and Strategic Operations to manage and maintain contacts with alumni and external organizations and to manage and maintain publications database. Develop, document, and execute a process to identify newly published research and curriculum materials related to business & environment. Initiate improvements to processes and data organization.
Serve as first-line contact for organizations and students interested in connecting with BEI, responding to phone, email, and walk-in inquiries. Maintain BEI program and event knowledge and serve as contact for inquiries, able to answer questions regarding program/event purpose, timing, and general eligibility requirements.
Execute student-alumni mentor program. Recruit alumni, understand student requests, facilitate matches, plan events, and track participation. Follow up with students and mentors to assess satisfaction with the program. Report on program performance.
Provide general administrative coordination including establishing BEI business processes, maintaining departmental records, scheduling meetings, processing invoices and reimbursement processing, tracking expenses, managing department mailings, ordering supplies, etc.
Take on specific projects based on BEI's evolving needs.

4+ years related administrative experience.
BA/BS or equivalent experience strongly preferred. This position requires a self-starter with excellent organization, project management, communication (both written and oral), and interpersonal skills. The candidate should have good professional judgment, know when to ask questions, understand when to take initiative, and the ability to function as part of a team and coordinate with multiple constituencies in a dynamic work environment. Strong problem-solving skills, attention to detail, and customer service skills are essential. Requires a high-level of proficiency in using technology to support complex administrative functions through Salesforce, spreadsheets, mail merges, databases, social media, and web management. This position requires someone who is able to anticipate the needs of the BEI Director, manage time effectively, set appropriate priorities, take ownership of projects, and follow through on a consistent basis.
