Facilities Management and Campus Services (FMCS) consists of nearly 400 personnel, including more than 100 in-house, bargaining unit staff, and executes 70,000 facilities related work orders each year. We provide the critical operational support services required for university's missions of research, education and student development. As the university's sole provider of facilities related services, we are the primary steward of Carnegie Mellon's physical infrastructure--charged with providing utility services, deferred maintenance planning, facility repairs, facility maintenance and facility services to the nearly 100 university owned buildings in Pittsburgh.

We are searching for a Project Officer to join the team. This is a dynamic opportunity if you thrive in an interesting and challenging work environment. In this role, you will be responsible for working with leadership to implement organizational and operational project initiatives, balancing project-based work within the division and provide related administrative and logistical support, and overall office management to include developing and supervising programs for maximum utilization of services and equipment.
Core responsibilities will include:
Responsible for comprehensive support of major projects including activity planning, progress tracking, status reporting and document management.
Responsible for end-to-end execution of department scale projects and initiatives from project planning through implementation.
Collaborate with FMCS leadership to monitor, prioritize and handle resources effectively based on short-term to multi-year FMCS projects that drive initiatives, which correspond to the mission, vision, and strategic plan of the organization.
Develop detailed project plans, comprehensive project documentation, and measure project performance using appropriate systems and tools to ensure projects are executed with optimal efficiency and maintain alignment with strategic direction.
Create and manage project resources to drive and streamline project execution.
Identify any potential issues or risks that could affect the progression of projects and collaborate with FMCS Leadership to identify solutions.
Prepare agendas and materials for departmental and advisory committee meetings and produce related meeting minutes in support of FMCS projects and mission.
Assist in FMCS hiring process: scheduling interviews, coordinating travel logistics, and act as a member of selection committee for various departmental positions.
Manage FMCS web pages via Content Management System (CMS).
Coordination, planning of on, and off-site events. Includes managing logistics for securing space, catering, travel, scheduling, etc.
Manage various support functions; calendar management, coordinating travel and administering related expenses, preparation and/or revision of presentation materials, serving as liaison with various departments as well as external contacts, and providing financial support including procurement card and purchase order administration and employee reimbursement processing.

Bachelor's degree in Business Management or related field required; combination of education and experience may be considered.
Minimum three years of relevant office and project management experience, leading and delivering a wide range of small to large-scale, cross-functional projects, required.
Project Management Professional (PMP) preferred; advanced working knowledge of Microsoft Office Suite preferred.
