As part of a dynamic team that delivers executive support to Knowledge and Library Services (KLS) leadership, the Specialist is a trusted resource and a key contributor to KLS's strategy processes who reports to the Executive Director, KLS and works closely with the Finance and Enterprise Services (FES) department. The role touches many aspects of administration processes as well as parts of the Harvard Library system as a whole and manages all support to KLS's Executive Director and the KLS Leadership Team.
Key Responsibilities: Leadership support:
Coordinates and participates in Leadership Team and other meetings and events, overseeing the organization of agendas, action items, and planning to ensure smooth execution. Anticipates team needs and takes action proactively.
Oversees projects for the Executive Director. Determines priority, solicits assistance or delegation path, and problem-solves strategically and creatively. Ex. ABLD conference
Administers a complex calendar for the Executive Director, including planning and executing travel arrangements, processing reimbursements, and organizing files.
Reads, proof-reads, researches, and drafts communications. Prepares, edits, and coordinates presentations. Ex. KLS Forum presentations
Reports on and liaises as needed with Harvard Library and external business, college, and university libraries. Ex. ABLD, ARL
KLS External Outreach:
Independently determines arrangements such as speaker coordination, necessary publicity, operations-related details, and catering.
May arrange communications and logistics for events. Ex. Books@Baker.
5 years of related experience as an executive assistant.
Proven strength in administrative skill including MS Office suite, writing, calendaring, and time and project management. A demonstrated aptitude and a willingness to leverage new technology.
Possesses excellent organizational, interpersonal, verbal and written communication skills. Self-directed and focused on being efficient yet effective above all.
Excellent analytical writing skills.
Able to prioritize, multi task and work independently with minimal supervision and frequent interruptions in a fast-paced environment. Is flexible in changing priorities.
Able to work in a highly professional manner under pressure of multiple deliverables and deadlines, while remaining calm, exercising judgment, and maintaining confidentiality.
Strong attention to detail and accuracy a must.
Demonstrated experience working as part of a team with strong collaboration skills. Ex. across KLS, the School, and the University.
An understanding of HBS's priorities and organization with sensitivity to a nuanced academic culture.
