The University of Kansas is seeking to hire a Maximo Functional System Administrator. This position will join the Operations Business Office to provide system oversight, support, design, development, testing, and documentation of the Maximo Computerized Maintenance Management System. The position will work with end-users to ensure they are utilizing the system effectively and efficiently as well as document needs for system development.
55% - System Administration – Serves as a functional administrator for the upgrade, maintenance, and day-to-day operation of the Computerized Maintenance Management System for the University:
Provides shared leadership to Project Team composed of department representatives from departments utilizing the system.
Coordinates the analysis, design, development and implementation of University administrative practices to ensure full utilization of the Maximo system.
Identify and resolve system issues timely and effectively and forwards issues needing higher-level resolution to appropriate contacts.
Troubleshoots business process issues, making appropriate referrals as needed. Coordinates, facilitates and/or leads functional teams, making sure technical participation is included.
Coordinates with vendors and consultants, any State, university, KUMC, or other institution contacts, including reference contacts, site visits, software vendor consultant visits, and vendor demonstrations.
Serves as a project management leader in the planning and implementation of assigned system projects by utilizing appropriate project management tools for resource requirements/ coordination, task planning and timeline tracking.
Produces, maintains, and supports accurate and timely reports to University leadership.
Coordinates with other KU administrative systems Project Leaders to insure effective data integration, identification of overlapping business processes, monitoring the impact of various projects on Maximo, coordinating system or business process interfaces with Maximo, etc. Other systems include; State of Kansas systems, financials, student, budget, Identity Management, GIS, OAC, and other IT systems.
15% - System Training:
Design, document, and conduct training to end-users to ensure the University community effectively operates within the business and systems climate affected by Maximo.
Organize and plan focus groups, system demonstrations, online or procedural training to end-users.
Plans and implements communication mechanisms for all University contacts affected by system changes, including departments, functional teams, and other systems’ contacts.
15% - Process Improvement:
Coordinates business processes that relate to Maximo and system reporting, including but not limited to annual expenses, annual inventory, performance metrics, etc.
Design, test, and recommend/implement best-practice solutions.
10% - System Documentation and Reporting:
Maintains priorities, system documentation and tracks progress of projects within area to ensure deliverables are achieved on time.
5% - Other duties as assigned.
Bachelor’s degree and three (3) years of related experience -OR- a High school diploma and five (5) years of related experience
Excel, Microsoft Office, and SQL Developer or Server experience as demonstrated by application materials
Strong written and verbal communication skills as demonstrated by application materials and/or interview process
1 year of Maximo system administration experience
Experience using Maximo v 7.6.1
Experience using EZMax Mobile
Experience with system upgrade or new software implementation
1 year project management experience
Excellent analytical skills
