Under the direction of the Assistant Director for Sponsored Research Communications and Training, the Training and Education Specialist develops training resources and implements a blended education programrelated to sponsored research administration at Northwestern University. This includes, but is not limited to, producing educational tools, such as job aids and short online training videos; coordination and delivery of an in-person sponsored projects administration curriculum; and maintaining data, templates, and standard operating procedures related to the training program. The Training Specialist works directly with subject matter experts, OSR leadership, learners, and the Northwestern e-learning community.
Content Development and Management
The goal of the following activities is to maintain a robust sponsored projects training program for the Northwestern research community, primarily research administrators and technical, financial, and program staff who deal with some aspects of sponsored project management. Key subject areas include: pre-award processes, proposal budgeting, award set-up, and award management.
Engage with subject matter experts from OSR and departments to draft learning objectives and document key topics, processes, and best practices
Contribute to the development of print-based and online training and training-related materials. This includes writing and editing text, fact-checking and verifying currency of references, creating basic diagrams, and working with OR Communications staff to create templates and more complex graphic design elements
Use Adobe Captivate (or similar content authoring tool) to create and package e-learning content
Align OSR curriculum offerings with trainers in related departments, including NUIT ESAF, Office for Research (ORI), and the Project Management Office.
Coordinate and facilitate in-person training courses offered roughly quarterly, alternating between Evanston and Chicago campuses. This includes scheduling logistics, confirming and prepping instructors (who are usually subject matter experts from OSR and departments), and refining content in response to student and teacher feedback
Present ad hoc instructional sessions
Set-up online training offerings and associated training materials in the university’s training management system, MyHRLearn (Saba Talent Management System)
Maintain currency of files and instructional materials and backups
Assessment and Process Improvement
Develop surveys, quizzes, and other data collectors
Organize and report on data related to training initiatives
Draft and maintain currency of Standard Operating Procedures for training-related processes; identify additional SOP’s as needed
Stay up-to-date on best practices and developments in the fields of adult education, online learning, and sponsored research, generally and specifically at Northwestern
Participate in special projects for the office.
Provide backup to colleagues on the OSR Information Team.

Bachelor's degree required or equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
1-2 years’ experience in a university environment and/or working in grants development/management in a grant-making or grant recipient organization.
Experience in developing instructional materials, providing instruction, and maintaining currency of resources over time.
Experience engaging with individuals at various organizational levels.

Outstanding communication and interpersonal skills: This includes presentation/speaking skills and small group facilitation. Exemplary writing and editing skills are required
Ability to work independently and as part of a team in a fast paced environment
Strong computing skills, including the ability to self-teach in order to gain mastery systems as well as the ability to train others in systems
Competency with standard desktop and web-based applications, including Adobe Acrobat and Microsoft Powerpoint
Excellent time management and organizational skills
Preferred Qualifications: (Education and experience)
Master’s degree and/or certification in training and development, organizational development, or a related field
1-2 years’ in research administration, particularly in an university setting.
Experience developing and conducting educational programs for adult learners, preferably in an academic setting.
Experience in producing web-based content and/or email-based content marketing.
Familiarity with evaluation tools to measure the effectiveness / impact of an intervention, program, and/or training solution.
Experience using an electronic research administration system, preferably InfoEd, and PeopleSoft.
Preferred Competencies: (Skills, knowledge, and abilities)
Demonstrated competence using a content management system, particularly an online learning tool such as Saba Talent Management System, in an administrator or content editor role.
Proficiency with Adobe Creative Cloud applications, particularly InDesign.
Proficiency with a video capture tool, such as Adobe Captivate.
