The Recruiting and Administrative Specialist is responsible for providing a range of support to CTIA’s human resources department. In this role, you will perform a variety of personnel-related administrative tasks including recruitment coordination and assisting with new hire onboarding. This position requires excellent organizational skills and the ability to work in a fast-paced work environment. The ideal candidate will be able to multi-task and must have exceptional written and oral communications skills. This position reports directly to the Director, HR and Administration.
Essential duties and responsibilities include the following (other duties may be assigned):
Provide recruiting support:
File Authorization to Hire paperwork prior to beginning the recruiting process
Post ads on various job boards and CTIA intranet
Work with recruiting agencies to fill job openings when appropriate
Coordinate and schedule interviews for hiring supervisors
Follow-up with candidates after the selection process has been finalized
Ensure that CTIA’s diversity and inclusion policies are adhered to during the recruiting process.
Assist with facilitating on-boarding and termination processes to ensure the requisite paperwork is processed and completed according to established timelines
Act as primary back-up support with regard to:
Beneft enrollment, termination, and benefit support issues
HR functions in WorkforceNow/ADP
Maintain personnel files and ensure all necessary paperwork is on file for annual audit
Provide administrative support with regulatory and compliance issues for benefit plans
Work with HR Manager and accounting department to process bi-weekly payroll
Code and route invoices for approval through A/P system
Provide assistance with organizing company sponsored activities and initiatives including:
Monthly staff meetings
Corporate Wellness Program
Act as the primary back-up to the Administrative Assistant and Facilities Coordinator when needed.
Take on special assignments as assigned

Requires the following: a fundamental knowledge of English, a basic familiarity with office procedures, policies and practices.
Education and/or experience:
B.A (or B.S.) preferred. 2-3 years previous administrative and recruiting experience desired.
Experience in Microsoft Office, with advanced experience in Word, Excel, Outlook, and Powerpoint. Previous experience with ADP/ WorkforceNow desired.
Detail-oriented with knowledge of grammar and punctuation. Proficiency in proofreading skills and strong communications skills are required. The ideal candidate must have exceptional written and oral communications skills.
