The Dean's Office in the The School of Business is looking for an experienced Executive Assistant to provide high-level confidential administrative support to the School of Business Dean’s Leadership Team (Dean, Associate Deans, Fiscal officer and development team) and manage the Dean's Office.
This position would provide executive support to the Dean’s Leadership Team with the support of the Dean’s Office receptionists as well as oversee the Faculty Services Office.
Essential functions as the Deans’ Executive Assistant: Attend, and complete assignments assigned in management meetings; assist the Deans’ Leadership Team in formulating and implementing College policy and procedure; manage the Deans' calendars; schedule meetings; review and prioritize correspondences; coordinate Deans' travel arrangements, authorizations, and reimbursements. Essential functions as the Office Manager: Ensure the smooth operations of the Deans Office by developing, implementing and maintaining office policies and procedures. Supervise the Deans Receptionists and the Faculty Services Department.
This position requires a Bachelor's degree and 5 years in an office providing executive support, preferably in a higher education environment which includes independent experience with:
Coordinating processes that involve the cooperation of many people at varying levels in the organization.
Guiding the work of other staff in the office.
Proficiency in software programs, including the Microsoft Office suite and Google.
Ability to anticipate needs of executive-level professionals and facilitate necessary actions to achieve intended objectives.
Strong attention to detail and project management aptitude.
Ability to maintain confidentiality and exercise sound professional judgment.
Ability to solve problems and respond to or refer questions to appropriate persons.
Ability to take initiative, to work independently, and to work as a team member.
Excellent organizational, communication, and interpersonal skills.
Service orientation and ability to facilitate, anticipate and coordinate requests/needs.
Ability to determine priorities, perform multiple tasks under short deadlines, and complete tasks in spite of many disruptions.
Willingness to accept new and different responsibilities.
A masters degree in Public Administration, Business, Communication or closely related field.
A working knowledge of higher education in general and Portland State University in particular.
