Under the leadership of the Executive Director of Donor Experience and Engagement and the direction of the Managing Director of Advancement Signature Events, the Event Manager uses skills as a seasoned, experienced professional, to provide comprehensive coordination and management oversight of moderately complex and/or medium-size events.
The incumbent will design, plan, and independently manage high profile events that set the stage for UC San Diego's interaction with leading campus donors, alumni, elected officials, volunteers, and business leaders. Manage logistical details of all events from inception to completion. These events support the University's strategic goals and objectives, increase opportunities for interaction between the institution and the community, and reflect the high standards of the University.
Occasional evenings and weekends may be required.
Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.
General understanding of the full spectrum of development including gift policies, cultivation, and donor recognition, naming protocol and donor stewardship plans as they relate to the events being planned.
Organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus for fundraising events. Skills to provide excellent donor stewardship.
Demonstrated knowledge of principles and practices of volunteer recruitment, supervision, motivation and evaluation.
Demonstrated talent for creating aesthetically pleasing materials and physical surroundings for events, including space planning. Experience working with graphic designers.
Skill in effectively meeting budget and time constraints. Experience with various aspects of financial transactions including financial reporting, event budgeting, purchasing, accounts payable and budgets. Ability to provide accurate budget recommendations.
Demonstrated experience and knowledge drafting budget proposals, monitoring expenditures, and performing cost analyses for each event.
Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small, medium and large scale gatherings. Ability to effectively work with invited guests, donors, government officials and university VIPs.
Proven experience using public relations practices to provide direction to special programs for outreach to prospective and continuing donors.
Demonstrated ability to comprehend and interpret data and utilize campus resources for report preparation and implementation of policies and procedures.
Highly developed interpersonal communication skills including political acumen and social perceptiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities.
Proven understanding of the philosophy of quality service and group process, with proven aptitude for working as part of a team. Ability to adopt the principles of quality service as a work philosophy, communicating with others in a cooperative and courteous manner.
Highly developed judgment, decision-making and problem recognition, avoidance, and resolution skills, including skill in determining issues and problems that need to be brought to management's attention.
Exceptionally strong organizational and time management skills; detail oriented. Ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines. Ability to take into consideration job responsibilities, deadlines, competing requirements and complexity.
Strong sense of ethical conduct, and ability to maintain confidentiality in all matters, including those relating to sensitive donor relations issues. Success in exercising sound independent judgment.
