Located in Washington, D.C., the Sr. Student Services Coordinator position will provide direct service to students, complex administrative and project management support to the Executive Director of Student Affairs, and will work directly with faculty, students and staff to identify and implement solutions to improve the student experience. The Sr. Student Services Coordinator will take a primary role in managing disability services and student life for AAP students and will support student success by coordinating communication, events and resources for AAP students. The Sr. Student Services Coordinator will represent AAP Student Affairs at new student orientation, open house, and other events as needed. Occasional travel required. Some evening and/or weekend work required.
Specific Duties & Responsibilities:
40% Disability Services and Assistive Technology: Manage the DSS process by engaging in the following (not an all-inclusive list):
Liaise with other DSS Coordinators, ADA Compliance Officer and Office of Institutional Equity to ensure consistency in practices across JHU.
Consult with OIE and Office of Civil Rights as needed to ensure ADA compliance.
Assume all responsibilities in communicating with DSS students.
Hold in¬take interviews and submit student documentation to Office of Institutional Equity (OIE) for decision on approved accommodations.
Document and secure recommended accommodations.
Assume responsibilities for communicating with faculty.
Maintain a confidential student databases and systems.
Procure alternative format texts and any other support materials.
Organize and execute priority registration.
Create and maintain a database for receipt and delivery of class notes.
Create exam schedules, securing proctoring logistics by securing space, accommodations and scheduling proctors.
Create and deliver faculty and staff training on disability services as needed.
Manage AAP’s assistive technology resources; research advances in assistive technology and ensure AAP provides most relevant services to students.
Create and deliver assistive technology trainings for faculty and staff.
Attend meeting on¬site and off¬site with focus on best practice exchange among JHU divisions, report on activities at AAP, and training.
Help prepare the Executive Director for meetings by providing additional communication, documents, etc.
Monitor budget expenses.
30% Student Support and Life:
Proactively create and implement programming to meet student needs.
Develop and run academic support webinars and workshops.
Maintain housing resources website.
Oversee tutoring program: manage relationship with online tutoring vendor; promote services to students and faculty; assist with troubleshooting.
Work with JHSAP on student referrals and programming.
Promote and implement student life initiatives for AAP students.
Attend AAP events as a representative of Student Affairs as needed. Examples include but are not limited to new student orientation (2x per year) and open house (2x per year).
Communicate with students on a variety of issues and opportunities including events relevant to students hosted by Student Affairs, Career Services and faculty.
Liaise with AAP Registration, Marketing, Admission and Career Services to ensure a consistent message to AAP students and consistency of student services throughout lifecycle.
Launch and manage a student newsletter – coordinate with AAP Registration, Marketing and Career Services to present students with engaging and timely information each month.
5% Faculty Support:
Create and disseminate faculty handbooks for off-site courses.
Collaborate with Instructional Resource Center to develop and run faculty trainings.
10% Orientation and Graduation Support:
Play a key role (alongside the Executive Director and Event Coordinator) in the coordination and managing of new student orientation (2x per year) and graduation (1x per year).
10% Student Appeal Coordination:
Support the Executive Director by coordinating the process for students appealing refunds.
Collect appropriate documentation related to student appeals – this may include reaching out to faculty, staff and external partners.
Liaise with students and with AAP Registration to ensure that policies are followed and to gather all necessary documentation.
Keep database of appeal information and prepare for review by Executive Director.
5% - Other duties as assigned
Minimum Qualifications (Mandatory):
High School Diploma/GED.
Four years progressively responsible administrative experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
BA/BS degree required and 1-3 years of experience in student services, preferably working with adult learners.
Special Knowledge, Skills, and Abilities:
Knowledge of ADA required.
Strong interpersonal and organizational skills.
Excellent written and oral communication skills.
Must have the ability to work independently in a fast-paced, academic environment with multiple needs and multiple constituents.
Some evening and/or weekend work required.
