The Events and Projects Manager (EPM) plans , e x ecutes , and performs follow-up on all Center events, which i nclude formal conferences, symposia, receptions, student events, and Center - internal events and meetings. This includes scheduling , reserving space, coordinating with on- and off-campus partners and vendors, and o v erseeing event budgets . S /he assists with Center social medi a accounts and email communications and overseeing the Center's conference rooms and event supply closets. Re porting to the Associate Director for Programs and Outreach and collaborating with Center faculty and staf f , the Events and Projects Manager has additional responsibilities that include but are not limited to:
Event Planning and Management
Oversees event scheduling and logistics.
Coordinates and manages vendors.
Track event expenses and processes payments.
Coordinates travel arrangements and accommodations.
Ensures strategic planning with regard to events.
Serves as the front line representative of the Center and host at its events.
Coordinates and communicates with internal and external event partners.
Marketing and Communications
Develops marketing materials, including event page, poster, program, flyers, and emails for all events.
Coordinates with other on-campus units to promote events in weekly newsletters, on the university website, and anywhere else needed.
Coordinates event coverage, including filming, photography, and media coverage in coordination with Center communications staff.
Crafts, coordinates, and manages post-event follow up, including event video circulation (full and clips).
Assists with Center social media accounts and email communications.
Manages internal and external stakeholder lists.
General Office Support and Special Projects
Manages the Center's internal calendar (such as courses and holidays).
Oversees a student event assistant.
Manages the Center conference rooms and event supplies.
Other tasks as assigned.
Strong written and verbal communications skills with a demonstrated ability to manage multiple projects in a complex, multi-faceted environment
Past event and vendor management experience preferred
Ability to work with partners and guests from a variety of international and religious backgrounds
Proven skills in time management with a high degree of organizational and administrative ability, as well as project management skills
Ability to exercise discretion and maintain grace under pressure
High attention to detail
Collaborative work style and ability to receive feedback with a willingness to respond to an evolving set of priorities
