Job Description Summary
The Special Projects Administrator is responsible for the planning, coordination, implementation and evaluation of projects led by the VP, Strategy and Operations (VPSO), ensuring that the initiatives, objectives, and priorities of the University are understood, supported, and advanced. This position will work with minimal supervision, performing a wide range of complex project management duties. Provides support to the VPSO in order to meet internal and external commitments. Keeps the VPSO apprised of the status and developments of all projects and initiatives through regular updates and, if needed, special reports, while highlighting important issues and areas of concern for the office. Serves as a liaison among campus partners to help achieve institutional goals.
Supports the VPSO in the strategic development of long term and collaborative projects in accord with charges from senior leadership. Communicates effectively with stakeholders to ensure a high degree of transparency and understanding of the deliverables.
Prioritizes and manages multiple projects simultaneously and follows-up on time-critical issues. Develops full scale project plans, including defining project tasks, resource requirements, estimating work scope, establishing time lines, and tracking project progress. Identifies risks, project requirements and project activities to ensure the on-time and high quality delivery. Delivers project results predictably, on time and on budget. Provides ongoing status updates to project teams.
Provides hands-on, detail-oriented ability in managing the special projects associated with the dynamic responsibilities and priorities of the office. Proactively identifies resources gaps necessary for project completion. Drives for resolution on critical project milestones.
Conducts research and in-depth analysis on topics related to higher education. Creates reports/presentations summarizing research findings to key stakeholders.
Works with multiple functional areas of the University and develops strong relationships to maximize input and opportunities for helpful insights and collaboration; evaluates and distills analysis conducted by other departments.
Staffs and facilitates committees for various initiatives related to projects, as well as those defined by the VPSO.
Collaborates with the Budget and Financial Planning team on administration of Workday approval processes relating to budget availability for hiring and accuracy of costing allocations and ensures timely execution of transactions.
Manages day-to-day office operations for the VPSO including calendar, scheduling, and other administrative duties. Provides correspondence and other written communication support to the VPSO. Performs quarterly administrative duties in support of Capital Projects and Board of Trustees.
Serves as escalation path to VPSO for critical needs of campus partners.
Required Education, Knowledge, Skills, Abilities:
Bachelor's degree and three to five years of relevant experience to include at least one year of responsible project experience, or an equivalent combination of education, training.
Strong ability to anticipate project needs, plan ahead, and to proactively and strategically meet those needs in a timely manner.
Possesses strong initiative, excellent judgment and ability to function independently.
Knowledge of practices and procedures involved in project management, including, but not limited to research, benchmarking, best practices, planning, and execution.
Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.
Ability to organize workflow, manage and track multiple projects, and meet deadlines in a fast-paced environment.
Ability to be versatile, learn and act on new information and projects efficiently, while maintaining a strong attention to detail and confidentiality.
Ability to work independently with attention to detail and sound judgment.
Proficiency in technical and computer software including MS Office applications, database management and other related software.
Experience in higher education environment preferred.
