Seeking an Administrator who excels within the artistry of true Executive Support that includes coordinating all aspects of the day to day activities resulting in accomplishing business objectives. This role supports the Division President that leads the strategic direction and performance of the firm's Advisory Services Business.
A successful individual in this role requires them to have a consistent dedication in representing the Executive in a professional manner within all interactions that will vary from internal and external Stakeholders, Government personnel, Clients, and guests. This individual will deliver a superior approach in strategically maneuvering all logistics from extensive management of calendaring, meeting prioritization, travel, internal and external collaboration, timely and prompt schedule adherence, presentations and reports to name a few.
This role will require extensive travel within Los Angeles.
GENERAL DUTIES AND RESPONSIBILITIES
Drafts confidential correspondence, edit documents, take and transcribe minutes of meetings, and perform other administrative and secretarial duties.
Creates, maintains, and/or updates various databases. Extrapolates, analyzes, and presents data for management information reporting purposes.
Serves as a liaison between executives, internal management, employees, clients, and visitors as required.
Reviews incoming correspondence via paper or email, lead initiative to determine appropriate action required. Leads and monitors issues for appropriate follow up.
Takes independent action on handling requests; determines the appropriate course of action, intervenes where necessary, and acts as a liaison between departments.
Plans, coordinates, and supports meeting and conferences. Arranges domestic and international travel.
Coordinates data from a variety of sources for inclusion in technical reports and presentations; performs independent research and prepares information for special projects as assigned.
Assists with processing department financial data as it relates to budgets, accounts payable, and generating various financial queries and reports.
Administers the department/business unit record keeping system; updates various department/business unit records and publications; ensures that department/business unit files are maintained in accordance with company policies and procedures; reviews requests for information and determines the appropriateness of release.
Other duties may be assigned.
At least 6+ years of experience in an administrative support role.
At least 2+ years supporting C-level executives.
Bachelor's Degree preferred, High school diploma or general education degree (GED) required.
An expert proficiency in being a true gatekeeper who utilizes diplomacy and discretion when allocating the Executives time.

Strong communication skills, project management, and problem-solving skills with exemplary multi-tasking abilities.

Strong technical knowledge and ability to learn as well as coach on various programs.
Proficient with Microsoft Suite, Zoom teleconferencing applications and travel management tools.
