Provides administrative support, coordinating scheduling and heavy accounting responsibility for a busy creative department. Organizes and prioritizes work, establishing procedures and systems and ensures the orderly and timely flow of business throughout the office. Coordinates the clerical and administrative workflows throughout the office.
Maintains the department Director's calendar, schedules appointments and meetings (coordinating meeting rooms, contacting attendees, ensuring that the required informational materials and equipment are provided), and assists with arranging large group meetings and travel arrangements for director and staff, as needed.
Establishes and maintains electronic and hard-copy filing systems for the department/unit.
Screen and prioritize routine and non-routine phone calls and routes inquiries to other levels as appropriate for two departments - the Brand Strategy and Creative Services.
Composes meeting minutes and routine business correspondence.
Will be responsible for maintaining an accurate accounting of the Creative Services invoices against budget, process invoices, create purchase orders and check requests; acts as a liaison to Accounts Payable and vendors and consultant; supports the processes of the project management team and interfaces with ensuring timely manager approvals and submission of invoices; prepare financial, business, or related reports, involving simple mathematical calculations and formatting; pulling from files, the HR/Payroll system, and other internal databases.
Supports the Publications team's organization and distribution processes when necessary, as assigned.
