General purpose: Coordinates and executes the administrative tasks, project management, analytics, and support functions associated with the fundraising activities of the Major and Planned Giving and Stewardship Office with the highest level of professionalism, confidentiality, organization and exemplary customer service
Summary of Major Duties and Responsibilities: â¢ Coordinates the tracking of moves and prospect management for the Major and Planned Giving and Stewardship program. â¢ Provides key proposal and grant reporting support for submission of materials, collection of supporting information and packaging and coordination of meetings and signatures related to gift agreements for the Major Giving and Stewardship team. â¢ Serve as coordinator of meetings, record keeping and the database for the Major Giving and Stewardship team.
Essential Duties & Responsibilities: â¢ In collaboration with the Director of Major and Planned Giving, tracks/facilitates major gift identification and moves management process and ensures accurate record keeping and integrity of the data in the Raiserâs Edge (RE) database â¢ Supports Major Giving and Stewardship team with select correspondence, drafting of initial transmittal letters, filing of key materials and initial drafting of briefings and creating packets for upcoming visits â¢ Assists in setting up key internal and some external meetings including arranging logistics for travel, meeting sites and confirmation with all attendees and supporting materials needed â¢ Assists in campaign related activities for the Major Giving and Stewardship Team and overall Advancement effort from supporting notes from prospect development meetings to event support and follow-up â¢ Records moves and strategies, and tracks all key prospect updates in RE system â¢ Assists with coordinating the review of periodic reports with the Director of Major and Planned Giving and their staff â¢ Provides administrative support to the Director of Major and Planned Giving as needed â¢ Supports the Major Giving and Stewardship team by tracking and monitoring budget for the various departments â¢ Assists with the production of stewardship and endowments reports and acknowledgements â¢ Assists with the undergraduate and graduate scholarship awarding process â¢ Provides support with recognition including commencement program, stewardship collateral and scholarship luncheon â¢ Coordinates meetings, agendas, manages calendars â¢ Solicit and steward donors as needed â¢ Performs other related duties as assigned
Knowledge, Skills and Abilities: â¢ Ability to exercise appropriate level of professionalism and discretion when dealing with information of a highly confidential nature â¢ Detail oriented with a proven track record of successful project management and the ability to work independently and efficiently in solving problems within a fast paced and deadline driven environment. â¢ Experience with Microsoft Office, Google Docs, Google Calendars, PowerPoint, and Excel. â¢ Working knowledge of Raiserâs Edge a plus. â¢ Excellent verbal and written communication skills â¢ Ability to research, compile, and summarize data for reports
Minimum qualifications: â¢ Bachelorâs degree or equivalent â¢ Proven years of experience in a related field â¢ Ability to exercise appropriate level of professionalism and discretion when dealing with information of a highly confidential nature â¢ Detail oriented with a proven track record of successful proactive management of deadlines and timelines â¢ Ability to work independently and efficiently in solving problems within a fast paced and deadline driven environment. â¢ Experience with Microsoft Office, Google Docs, Google Calendars, PowerPoint, and Excel. â¢ Working knowledge of Raiserâs Edge a plus. â¢ Excellent verbal and written communication skills â¢ Ability to research, compile, and summarize data for reports â¢ Office management experience desirable
Preferred qualifications: â¢ Experience in higher education, art & cultural institutions, and/or the nonprofit sector
