Reporting to the Director of Donor Engagement with a dotted line to the Assistant Director of Development Marketing and Communications, the position provides administrative support to the Donor Engagement team with responsibility for planning a wide-range of related activities, projects, and events including donor/alumni/student events, publications and communications/marketing projects.
Responsibilities include scheduling, data entry, preparing agenda and minutes, producing reports and mailing lists, tracking event attendance as well as general project management. Manages event invitation processes, including event mailings and emails, monitoring and processing replies. Assists in preparation of event registration materials, to include: schedules, attendee lists, name badges and other related printed materials. Provides on-site event support and assists event registration process and event follow-up. Communicates with registrants via phone and email as well as responds to inquiries from staff, faculty, vendors and guests including managing alias account inboxes. Helps create and maintain digital image archives, develops/designs posters and banners, and manages the production of a departmental newsletter. Organizes and compiles team metrics for the department. Supports all additional Donor Engagement administrative needs including, responding to inquiries, ordering supplies, managing files, creating and uploading data. Performs other duties as necessary.

Three or more years of related experience, preferably in development, alumni relations/engagement or event planning. Education beyond high school may count toward experience.
Bachelor's degree preferred. Solid computer skills with the capacity to master new software applications and technologies in a database management. Proficiency in all MS Office programs. Excellent oral and written communication skills, interpersonal skills and phone manner. Ability to work well on a team and interact with staff, vendors, guests, alumni, and faculty. Must have excellent attention to detail. Must be highly organized and have the ability to prioritize and work well in a fast-paced environment. Project management skills desirable. Familiarity with higher-education alumni databases a plus. Familiarly with website content management systems a plus. Must be available to work evenings and weekends as needed.
