Reporting to the Senior Project Manager, the University of Michigan Law School is hiring a faculty assistant to provide complex secretarial support for multiple members of the academic faculty, including, but not limited to, tenured, tenure-track, visitors, adjuncts and emeriti as assigned. The selected candidate will perform a wide range of secretarial & administrative support for these faculty members.
This is a 10-month position (August 1-May 31) and is benefits-eligible over 12 months.
Prepare all course materials, including electronic and hard copies.
Maintain faculty websites when required.
Electronic presentation preparation, including PowerPoint and Google Slides.
Careful editing and proofreading of documents, including but not limited to scholarly articles and correspondence.
Support and assist faculty with research endeavors, including, but not limited to, case and article retrieval using Westlaw, Lexis and other data bases.
Schedule complex travel itineraries.
Assist with expense report preparation and account reconciliations in accordance with University guidelines.
General secretarial duties including screening calls, arranging meetings, and maintaining busy calendars for multiple faculty members.
Perform complex tasks using Microsoft Office suite and G suite.
Handle confidential materials and communications appropriately.
Bachelor’s degree and 1+ years of progressively responsible secretarial experience or equivalent administrative experience.
Proficiency in Microsoft Office Suite, G Suite, and Adobe Acrobat.
Excellent communication skills.
Ability to prioritize and balance multiple concurrent assignments and deadlines.
Demonstrated ability to show sound judgment and work independently, as well as the ability to work on a team in a professional and collaborative manner.
Demonstrated accuracy and attention to detail.
High degree of confidentiality and ability to handle sensitive matters with tact and discretion.
Exemplary customer service skills.
Ability to move boxes and other materials.
Must be able to remain in a stationary position for long periods of time.
Working knowledge of legal databases (LexisNexis, Westlaw, etc.).
Prior experience with University M-Pathways system and Concur.
Prior experience with legal secretarial/writing terms.
