The Advancement Associate will serve as a member of the Campaign and Prospect Management team, providing general administrative support to the team as well as the Senior Associate Vice President.
Duties and Responsibilities:
1.Organize calendar and meeting scheduling for the Senior Associate Vice President using Microsoft Outlook; support meeting preparation (printing materials, building agendas, etc.). 2.Organize, track, prepare and upload Board of Trustee meeting materials. 3.Support the Campaign and Prospect Management team, including: a.Requesting and formatting reports b.Supporting data integrity and entry within the database c.Editing documents and internal/external communications d.Scheduling meetings and assisting with material preparation 4.Support planning efforts and prepare materials for regular (monthly, quarterly) prospect strategy, open proposal and University Advancement meetings. 5.Coordinate regular meetings and phone calls with campaign consultants. 6.Manage the campaign budget, including tracking expenses and projecting budget needs. 7.Prepare reports, correspondence and all other necessary documents using application software including MS Office, MS Word, MS Excel and Adobe Acrobat Pro. 8.Communicate with internal and external constituents by responding to various questions and requests for information. 9.Handle incoming phone calls using strong customer service skills. 10.Maintain relevant department records and retrieve data from the database system. 11. Other related duties as assigned to help support the department and University Advancement's goals
Required Knowledge, Skills, and Abilities:
A high school diploma is required
2-5 years of professional experience, preferably in a higher education and/or fundraising environment.
Possess a solid knowledge of grammar and strong written, verbal, and creative skills
Have a high level of attention to detail and be able to move forward multiple priority projects simultaneously
Be a strategic thinker
Understand basic project management principles
Possess strong customer service skills with the ability to problem solve
Have familiarity with a business environment and procedures
Be able to work under deadlines and prioritize work load
Work efficiently in a team-oriented setting
Complete tasks with minimal supervision
Be experienced in using Microsoft Word, Excel, Outlook, PowerPoint and Adobe Acrobat Pro
Maintain high level of confidentiality.
Preferred Knowledge, Skills, and Abilities:
Bachelor’s degree preferred.
