Job Requisition Number: 26975. The Department of Sociology is a large, dynamic and diverse community of students, faculty and staff. It is a professional, supportive workplace, with many staff making their careers in the department. The Berkeley International Study Program is a program within the department which hosts visiting international students to take courses on a space availability basis through UC Berkeley Extension’s Concurrent Enrollment program.
The Program Advisor serves as one of three Program Advisors providing student services and related administrative tasks for visiting international students participating in the Berkeley International Study Program, currently numbering ~375 students each semester and growing to ~500 this fall semester. Provides backup services to the other two Program Advisors. This position will serve as the primary coordinator for program administration and special curricular programs for BISP.
Under the general supervision of the directors of BISP applies professional Student Services concepts, provides the full range of student services to visiting international Concurrent Enrollment students served by the Berkeley International Study Program in the following areas of work.
•Advises visiting international students on a variety of matters related to their stay at UC Berkeley and study in our program. •Provides advice and assistance to students on program requirements, course selection procedures, enrollment issues and suggestions, application procedures, communication with instructors, grades, independent studies, resources on campus they can or cannot use, exceptions to agreements, MA papers, and personal matters on living and adjusting to a new country and educational system, and issues affecting their academic work. •Advise prospective students on appropriateness of program as it pertains to the applicant’s goals and what we can provide. •Advise students who are participating in special curriculum plans and explain to them their curriculum options, and monitor their enrollments for compliance with set requirements. •Work with external organizations that may be involved such as the Academic Internship Council as it relates to student placements and other issues that arise. •Promote and advise international coordinators abroad and prospective students about the specifics of these programs. •Assist in answering emails, Facebook and other social media posts from current, former, and prospective students in BISP. •Communicates important information and keeps participants updated on deadlines and procedures. •Advise current and prospective students through online webinar sessions, social media blitzes, and at recruitment events. •Track course enrollments for our visiting students in BISP and contact students who are lacking the minimum requirements or have other problems with their enrollment. •Advise program directors on complex student concerns that come up.
•Primary lead on all aspects of administration for the two BISP programs. •Oversees the cycle of administrative processes and communications involved at different times of the semester, from recruitment and admissions, to acclimation and enrollment at the beginning of the semester, to reimbursement and payment processes for events, and the end-of-the-semester correspondence, evaluations, and activities. •Assist directors with any course enrollment special procedures or courses with discussion sections, and other projects as needed to assist with enrollment processes. •Keep accurate and up-to-date information on our visiting students and the courses they take in excel and program database. •Conduct various types of surveys, including evaluation of our program, and prepare information collected for analysis by program directors in annual and semester reports. •Maintain files for program information, students, statistical information, reference material, etc. •In collaboration with directors and other staff, maintain partner listings, information, and notes for all BISP programs on a new database launched by the Global Engagement Office for all-campus use and our internal database.
Recruitment and Admissions:
•Under advisement of the program directors, plans and implements outreach programs with specifically targeted institutions. •Advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; utilizing in-depth knowledge of BISP/UC Berkeley Extension’s program requirements and application procedures. •Communicates with UC Berkeley Extension staff and students about application and acceptance procedures including obtaining the F-1 visa for visiting international students. •Assists Marketing Specialist with content creation for a variety of promotional materials and the BISP website. •Maintain and update current and accurate program information on the BISP website and Facebook sites for prospective and current students. •In collaboration with BISP staff, organize webinars for prospective and incoming students. •As needed, travel abroad to meet with students who are interested in our unique study abroad opportunities, and advise on application procedures and preparation. •Representing UC Berkeley and our program, meet with international coordinators to discuss our program and recruitment efforts.
•In collaboration with other BISP staff, takes responsibility for some of the events for visiting students such as orientations, social gatherings, workshops, and webinars throughout the semester. •Participate in the Cultural Peer Mentor program, where Berkeley students volunteer to mentor and plan activities for new visiting international students. •Serve as backup to another Program Advisor who leads and oversees the CPM program.
Department Assistance and Professional Development:
•Assist program directors with various ad hoc projects to improve the curricular program and opportunities for our visiting students, and with other program needs that come up. •Assist with various departmental activities and events. •Read relevant literature on study abroad programs, cultural adjustment, advising international students, and other topics related to the successful implementation of services in our program. •Attend relevant conferences and skill-building workshops.•Experience advising students in an academic department or program on academic matters, courses, enrollment and issues affecting studies. •Experience advising international students in a university. •Working knowledge of advising and counseling techniques. •Experience in a fast-paced in-person and virtual advising environment. •Excellent interpersonal skills. •Multicultural competencies; ability to work with diverse populations. •Skills in service orientation, active listening, critical thinking. •Ability to use discretion and maintain all confidentiality. •Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences. •Strong computer skills, and trouble-shooting. •Knowledge and experience working with spreadsheets, databases, and compiling statistical reports. •Good command or demonstrated ability to learn of bConnected suite of programs, MS Office programs, WordPress, desktop publishing and video conferencing software such as Zoom and Hangouts Meet. •Thorough knowledge of the fundamentals of writing, grammar, syntax, editorial style, and punctuation, including skill to write in a clear and lively style for creating online content. •Experience using social media platforms to promote a program and/or events. •Experience planning meetings, events, workshops and excellent presentation skills. •Thorough, strong project management skills. •Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance. •Ability in problem identification, reasoning. •Demonstrated ability to develop original ideas to solve problems and take initiative. •Ability to work effectively and efficiently, independently, and as a team member •Ability to multi-task, and high level of organizational skills and attention to detail •Ability to travel for one to two weeks abroad and domestically several times a year. •Ability to work some evenings or on weekends as needed for student events and travel.
Education/Training: •Bachelor's degree in related area and/or equivalent experience/training.
