Strategic Talent and Operations Associate The Advancement Resources & Strategic Talent Management team supports 232 staff members across 17 schools and colleges to advance the mission of the Development & Alumni Relations (DAR) team. Comprised of six team members reporting to an Associate Vice President, the team manages finance, administration, operations and talent for the division. Reporting to the Associate Vice President the Strategic Talent and Operations Associate will assist the talent management effort in day to day operations to support the areas of staff engagement, talent acquisition, career development, training/learning development, special events, and performance management.
JOB SCOPE Reporting to the Associate Vice President of Advancement Resources and Strategic Talent Management for Development and Alumni Relations (DAR), the Strategic Talent & Operations Associate will support the efforts of a busy, high functioning team in the areas of staffing, administration and operations through creating, implementing and overseeing projects and interfacing with both staff and other constituents. This role will supervise students and interns. This team supports the fundraising efforts of a large and diverse staff for the $1.5 Billion Campaign for Boston University.
*Active Candidate Recruitment: Working directly with hiring managers and the STM team to recruit and hire the best candidates for the roles, guiding hiring managers through the process of hiring including but not limited to: market research for potential candidates via LinkedIn and other online tools, candidate outreach, pipeline development, coordination and scheduling; creating posting online/social media advertisements and other marketing materials for DAR open positions, including internal BU and external channels; assists in candidate assessment, helping to close out searches, and providing superior customer service and serving as BU ambassador at all phases of the recruitment cycle
*Onboarding/Organizational Management: Serve as a resource for new hires, including managing and presenting the DAR 101 onboarding training for all new hires and managing onboarding logistics including pre-boarding outreach, readying space, creating onboarding itinerary in consultation with supervisor, and welcome events (breakfast, lunch, Hail and Farewell). Provides ad-hoc training on Microsoft Outlook, SAPs Absence Tracking software as well as other technical training's relating to staff onboarding and HR policies and benefits. Maintains and upkeep's DARs Organizational Charts, talent analytics and dashboards including current staff lists and directories (online). Creates, maintains and managers content for internal Staff Hub internet site for training, policies and procedures and DAR Staff Directory. Manages STM files and content, including organization and record keeping, maintaining candidate database, and accurately capturing and entering a wide variety of STM data for benchmarking. Manages onboarding events such as the Welcome Breakfast and other projects as needed.
*Learning and Development/Staff Events: Assists in managing professional development memberships for the department and advertising opportunities for staff, including registration; provides a wide range of support for staff events including annual meetings, ongoing internal training, training in partnership with central HR team, onboarding and e-learning. Maintains records for training and professional development and creates and maintains collaterals, post training surveys. Schedules training's, maintains electronic registration, coordinates training lists and serves as note taker as needed. Assists with planning and logistics of New England STM Consortium.
*Administrative Assistance: Provide day-to-day support for Associate VP of Advancement Resources and Strategic Talent Management including managing calendar for departmental meetings, individual appointments and interviews. Assist with the AVPs conference and other presentations preparation (PowerPoint, collaterals), books travel and performs other duties as assigned.
*Space Planning Logistics: Reporting to the AVP and the Director of Finance and Administration, guides space planning projects through the pipeline via BU online system. Organize and facilitate the efforts of the DAR Space Planning Committee, including scheduling meetings, interfacing with facilities and Central BU Space Planning. Coordinate all meetings, projects and schedules pertaining to space management on the 7th Floor and manages the day to day inventory of space for remote staff to work on the 7th floor.
Must be extremely customer service oriented and have exceptional attention to detail. Prefer experience in a fast paced office environment in Human Resources, Finance or Higher Education, especially a talent management team in development, preferably in a campaign environment. Demonstrated ability to handle multiple tasks and proactively seek guidance and input from multiple project managers to meet deadlines. Must be highly proficient in Microsoft Office Suite, including Excel PowerPoint and some experience in web design, desktop publishing experience desired. Must be facile on and familiar with social media, including LinkedIn, Facebook, Twitter, Instagram and emerging applications. Must have exceptional skills with Outlook Calendar program and ability to master scheduling with this software. Strong presentation skills desired. Ideal candidate will be a team player who can be self-motivated and thrive in fast paced environment, building and managing collaborative relationships up, down and across the division and the University. Must be extremely discreet, professional, entrepreneurial, and be a creative problem solver and must genuinely enjoy working with a very diverse set of human beings. Bachelors degree required. Candidates should be pursing an undergraduate degree. Salary is competitive and commensurate with experience.
