This position will coordinate, plan, implement and monitor activities within the purview of the Patient Safety Program (PSP) and Quality Improvement (QI) department, including, but not limited to Intensive Reviews (IR), Root Cause Analysis Submissions (RCA), Online Incident Reporting System (PSN), autopsy reports and various loop closure and action item tracking projects.Provide principal support and programmatic supportAutonomously monitor activities, prepare information and manage programmatic needs in coordination with PSP/QI leadership. Professionally handle challenging situations related to the organization and management of patient safety and quality improvment programs. Provide information to external and internal customers related to programmatic work. Independently manage projects, key departmental functions and database work related to PSP/ QI activities. Provide management support for the Intensive Review process including scheduling, maintaining reports and following up on action items. Provide management support of the Patient Safety data and data displays. Maintain the PSP websites, updating elements as required. Support the UW Medicine Quality Improvement web page as requested. Provide reports and presentations, organizes meetings and participants, identifies and manages resources related to assigned projects. Provide a high level of customer service internally and externally.Principal Administrative SupportActs as the administrative lead for committees and workgroups managed by the PSP leadership. Provide information to internal and external participants regarding the expectations of committee membership, independently supports the process and content of committees and assures the efficiency of the committees. Schedule meetings, speakers, reserving rooms, AV equipment, coordinating agendas, providing minutes, follow up on action items. Prepare departmental operational documents including reports, data displays, and presentations, keeps records. Manages calendars and communication for the PS/QI leadership.Financial ManagementTrack financial processes, maintains audited reports and support budgeting processes. Support reports required for annual budgeting. Provide payroll responsibilities for QI/PS/Infection control staff as needed. Support travel for PSP/QI, including tracking, arranging, reimbursement. Support department in the HEMM System / Citrix online Payment System.Cross Coverages of Administrative Specialist for QI/Infection ControlPartner with the Administrative Specialist for QI/IC to provide coverage of time sensitive or key duties on a short term basis as needed.REQUIREMENTS:Minimum Qualifications*Bachelor's degree in Business Administration, Communications, Healthcare Administration, or related field.*Four years of progressively responsible administrative support experience to include overseeing and executing office operations.*Project management experience in a large, complex organization. *At least one year of experience as an executive assistant to include complex project scheduling experience.*Proficiency with Microsoft Office Suite including: Outlook, Word, Excel, PowerPoint, Access and SharePoint.*Proficiency with basic AV set-up.*Abililty to manage complex, time sensitive projects including scheduling responsibilities related to quality, safety and regulatory requirements.*Demonstrated ability to work effectively and efficiently with complex data collection system.*Ability to prepare and present information and communicate effectively with clinical providers and quality improvement team members, as well as other HMC entities.*Ability to coordinate information gathering and dissemination within a complex administrative system.*Demonstrated ability to work effectively and efficiently within teams and independently.*Highly self-directed.Other duties as assigned.
