The Administrative Assistant will be the first face of the Dean's Office, covering the front desk, greeting and welcoming all incoming visitors and meeting attendees. Reporting to Executive Assistant to the Dean, he/she performs a variety of duties to manage effective and efficient communications within and outside the College of Engineering. This position is varied in that he/she is responsible for the daily office duties of the suite. This encompass ordering supplies, keeping the office including the kitchen are front area clean and tidy. This position will include calendar management of one or more people/rooms, budget reconciliation and working with student van requests. He/She at certain times of the year work with the Dean of Faculty Affairs on setting up meetings/interviews and proof reading letters for accuracy. He/she will be responsible for conference room reservations and management, event space and classroom requests and catering reservations. The incumbent will support the office with special projects as assigned, which may include from time to time event support and execution. This requires the willingness to work during evenings and weekends at the time of the conference/event. He/she will assist in a wide range of projects to support the administrative processes, special initiatives and programmatic needs and to ensure that the office runs smoothly.
This position requires extensive interaction with many internal/external stakeholders; principally this will be Northeastern's College of Engineering Executive Committee, unit heads, faculty and staff, but also includes external groups (e.g., current students, external visitors, conference attendees, alumni, vendors).
Bachelor's degree is required with one year of administrative experience in a professional setting; demonstrated effective written and verbal communications skills along with interpersonal and organizational capabilities; excellent attention to detail with critical thinking skills, project management skills, excellent initiative and self-motivation with flexibility to work under deadlines; and customer service skills. Must be able to understand complex material to communicate effectively and must be able to work with confidential information and prioritize tasks and demands. Must possess a thorough knowledge of professional office procedures, and demonstrate good judgment, discretion and problem solving skills. Should be willing to assist on an as-needed-basis in a variety of administrative, academic, and event and conference planning tasks. Ability to prioritize and manage ongoing projects at the same time. Strong administrative and computing skills, including Microsoft Office Suite, presentation, Outlook email, spreadsheet and database software are essential. Calendar management experience necessary. Must be able to understand complex material to communicate effectively and must be able to work with confidential information and prioritize tasks and demands. Must be able to take initiative and follow through on tasks independently.
In this fast-paced office, the successful candidate will be extremely adept at planning and prioritization, tactful communication, and will possess a strong organizational background along with ability to be flexible, professional, and creative in responding to requests with very short turnaround.
