The Membership Coordinator is responsible for the maintenance of a strong membership culture within AFCOM. Specifically, this person supports the activities of the Membership Manager by assisting with membership growth and retention, and is responsible for database management, member engagement, and excellent customer service. This includes supporting AFCOM volunteers and AFCOM Chapter Board Members in their leadership of more than 30 chapters. This person proactively solves problems and builds positive relationships with AFCOM volunteers and members. The membership coordinator creates and executes tactics that align with AFCOM’s strategy to achieve membership revenue goals. This full-time position reports into the AFCOM Executive Director and is eligible to work from a home office.
Assist Membership Manager with efforts to grow, retain and engage the AFCOM membership with specific focus on increasing the number of active end users to achieve AFCOM revenue goals and a balanced membership mix.
Lead all AFCOM chapters in their compliance to AFCOM Chapter Standards by working closely with AFCOM chapter board volunteers.
Participate in chapter board calls. Identify areas for improvement and work with the chapter leadership and Executive Director to implement plans to drive membership and attendance at chapter meetings.
Help recruit new board members as needed.
Assist chapter boards in executing four chapter meetings per year.
Ensure each chapter complies with bylaws and chapter agreements.
Ensure that all chapters file LLC, secure bylaws and chapter agreements.
Work closely with the Executive Director to improve and communicate membership value.
Write and manage the AFCOM social media editorial calendar for Facebook, Twitter and LinkedIn.
Create and share monthly membership report with chapter Board of Directors.
Plan and coordinate the announcement of new chapters and funnel existing members within the database to the new chapter.
Promptly and effectively handle chapter and member questions, requests and complaints directly or through routing to an appropriate AFCOM team member; follow-up to ensure resolution and satisfaction.
Work closely with the Marketing Team and the Membership Manager to provide member information and expired member and non-member data to help with new member acquisition and non-member conversion efforts.
Work with the Finance department to ensure proper tracking of member revenue and association expenses. Review and approve membership payments to chapters on monthly and quarterly basis. Develop and share chapter financial reports of quarterly membership payments.
Occasional travel to AFCOM chapter events and board meetings as needed.
Help manage and organize all aspects of the chapter and member database (knowledge of iMIS required) including the accuracy of all member contact details, member designations (member, chapter president and board member), chapter paperwork, and election/term expiration dates.
Record new Chapters/Members into database; plan and execute the official charter of all new chapters.
Work with Customer Service Department to ensure prompt and accurate member renewal and termination notices and coordinate with accounting.
Maintain a comprehensive list/calendar of all chapter activities and meetings, including member attendance. Follow-up with members to drive renewal and non-member conversion following chapter events.
Organize and coordinate new Chapter setup/launch activities including the distribution of new Chapter materials, bylaws, and Chapter formation procedures; ensure completion and proper record-keeping of all Chapter requirements.
Help staff the AFCOM booth at DCW or other industry events to promote benefits to potential new members; follow-up post-event (via email/phone) to seek member registration.
Minimum of 3-5 years of association membership management
Previous experience with Association Management Software, experience with iMIS required.
Superior speaking/communication skills (written, presentation and verbal)
Proven project management skills
Experience in working with creative teams to produce collateral and promotional materials
Telecommuting is allowed.
