This position willsupport the client operations and marketing functions for Owen Graduate Schoolof Management's Executive Education Department, which has grown to more than 80annual student sessions, 1000+ attendees, with custom and open enrollmentfunctions, online programming, Accelerator programs and Trilogy Digital Skillscertificates.
TheExecutive Education Business Unit, established in 1991, offers short programs,certificates, online, IT boot camps, and custom education experiences forpracticing managers in a wide array of industries and topics. Business acumen,innovation, strategy, change management, operations, negotiations andleaderships are relevant interest areas for many of our clients. With 35professors, 30 custom clients, 20 boot camps and 25 annual short programs, ourtop priority is exceeding our clients' expectations for learning impact, valueand relevance. Annual revenue about $4M+.
Duties and responsibilities
Primary goals/outcomes are resource efficiency, clear stakeholdercommunication and high client satisfaction with service levels.
Oversees the set up and breakdown for 80 sessions held at OGSM andclient locations
Provides staff and faculty support during educational sessions forseamless delivery
Liaises with vendors, suppliers and faculty to ensure quality control
Assists with registrations for open and online programs to set clearexpectations
Provides logistical and administrative support for open and customprograms to delight clients
Provides invoicing, logistical and administrative support for theAccelerator program
Provides software integration support, date entry and administrativesupport to online programming
Answers client inquiries and website requests for information to promoteenrollment
Distributes program communication via email and hard copy mailings
Collects and prepares spreadsheet analysis for program evaluation onquality
Utilizes web-based survey toolQualtrics to conduct survey research,evaluations and other data collection activities for continuous improvement
Schedules and prepares facilities for custom and open enrollmentprograms for great client experience
Monitors expenses and reports variance to manage budget
Monitors and maintains EMS system for internal classroom requests toavoid conflicts
Primary goals/outcomes are date integrity, lead generation and clientsegmentation/satisfaction to ensure retention and growth.
Maintains / updates website monthly to support clearunderstanding in the market
Updates the What'sHappening weekly newsletter with pertinent program information
Generates marketing segment lists from Salesforce to assistwith targeting for sales
Coordinates marketing materials for direct mail campaigns
Support on-site marketing events for lead generationpurposes
Helps with the design of promotional materials for openenrollment programs
Conducts special research projects as assigned
Monitor expenditures against budget; prepare necessarydocumentation for supervisory review/approval; tabulate budgetary data and calculatefigures to ensure accuracy
Thisposition reports directly to the Executive Director of Executive EducationPrograms.Thisposition doesn't have any supervisory responsibilities
High school degree required, however, an AssociateDegree or Bachelor's Degree is preferred.
Experience and Skills
Minimum of 3 years of administrative experience in a high paced office environment
Experience in education or related organizationpreferred
Proficient in Microsoft Office systems,including Word, Excel, PowerPoint and Qualtrics
Detail oriented with the ability to manage multipleprojects and deadlines
Friendly, collaborative and engaged personalitythat enjoys client interaction in order to sell future program enrollments
