SENIOR ADMINISTRATIVE ASSISTANT , Computer Science and Artificial Intelligence Laboratory (CSAIL) , to provide executive-level assistance to the director of CSAIL. Responsibilities include organizing/managing all aspects of the director's schedule and operational activities; scheduling complex appointments and travel; functioning as a high-level contributor/coordinator on multiple projects; setting standards for effective administrative processes/procedures in headquarters; writing and editing correspondence and documents, preparing content, and designing PowerPoint presentations; collaborating on the scheduling or triaging of press inquiries; developing and contributing to correspondence, briefings, and reports; serving as a point-of-contact for lab faculty and staff; providing back-up support for the management of event space and coverage of headquarters' reception area; monitoring office supplies; processing requisitions, purchase orders, travel, and expense receipts; reviewing and prioritizing email to the Directors Office; organizing cabinet and directors meetings; and performing other duties and working on special projects as needed.
REQUIRED: five years' experience, preferably as a senior level executive assistant; ability to multitask and work as both a team member and an individual contributor in a dynamic, fast-paced, and challenging work environment with changing priorities; exceptional organizational, time management, project management, and writing skills; tact and sound judgment with confidential information/issues; excellent communication, collaboration, customer service, problem-solving, and interpersonal skills; ability to interact effectively across all levels, both internally and externally; self-motivation; advanced-level computer skills including experience with iCal, Microsoft Outlook, Word, Excel, Power Point, SAP web, the internet, and on-line tools (Dropbox, Google calendar, Google Docs, Dropbox, Paperless Post, etc.); attention to detail; familiarity with event planning; and ability to transport items weighing up to twenty-five pounds.
