The Administrative Assistant is responsible for providing administrative support to the Executive Vice Provost, Director of Budget and Human Resources, Senior Director of Capital Planning and Physical Resources and Business Operations and Project Manager.
Tasks include: maintaining calendars; organizing large and complex meetings; drafting, tracking, organizing and proofreading correspondence; organizing and maintaining office files, both paper and electronic; and making travel arrangements and submitting travel reimbursement documentation. The incumbent will also provide general support to the Business Operations Team, routing routine issues as they come in to the appropriate team member. This includes scheduling meetings, maintaining calendars, and proofreading documents.
In addition, the incumbent will be expected to back up colleagues when needed and perform tasks outside of traditional day-to-day activities when needed. Incumbent must be proactive in identifying issues in advance and working on solutions before they become a problem. This role requires strong attention to detail and organizational skills, the ability to be proactive and take initiative, exceptional and error-free written communication, the ability to balance multiple projects, and the capacity to react to changing priorities in a fast-paced environment. This position requires the incumbent to possess professional savvy, complete discretion and confidentiality, and the ability to synthesize information and change course fluidly when necessary.
Bachelor's Degree and two years of prior administrative experience in a high-level office and previous experience in coordinating large meetings and events required. University experience preferred. Requires strong computer skills and proficiency with Microsoft Office Suite. Must have strong written and verbal communication, proper grammar, and spelling.
