Office of the Vice President for Research Human Resources (HR) Shared Services Team provide a range of HR services and support to unit leaders, supervisors, and employees within OVPR’s administrative and academic units. The OVPR HR Support Specialist position plays a primary role in integration, alignment, and consistency among a distributive HR services environment of HR personnel who together ensure a standardized approach to human resource strategy, policy, procedures, and practices. While they will specialize in certain aspects of the HR lifecycle, the OVPR shared services HR Support Specialist will be required to back-up other positions as needed when volume, absences, or special projects warrant the need. This position will specialize in time and absence, benefits, compensation, HRMS data entry/integrity and employee leaves/exits.
DUTIES/RESPONSIBILITIES: This position is responsible for the coordination and facilitation of all HR and Payroll data and on-going maintenance of PeopleSoft HR/Payroll information for OVPR’s administrative and academic units:
50% Entry, maintenance and validation of HR/Payroll data
Entering and maintaining job information of new, current, and terminated employees
Auditing HRMS data for accuracy and following proper procedures to resolve discrepancies
Monitor deadlines for entry and approvals as Time and Absence Administrator for assigned reporting units.
Maintaining data integrity of time and leave data entered by employees in the electronic time and absence system
Run payroll and HR related reports to assist in finding potential discrepancies and resolve discrepancies appropriately.
Working as a Human Resource team to ensure proper administration of departmental HR processes (e.g. FMLA entry)
Scanning HR documents into digital personnel files
Initiating exit interviews for terminating employees
Person Of Interest (POI) entry and maintenance
35% On-going customer service and PeopleSoft user support
Responding to email and phone inquiries
Processing daily HRMS entries while ensuring compliance with applicable human resource related laws and U of M policies/procedures and retaining documentation
Assist with the roll-out and communications related to payroll and HRMS initiatives
On-going review of best practices and business processes
Maintenance of OVPR HR Shared Services internal website
10% On-boarding of new hires
Gathering of information required to enter new hires into PeopleSoft
Initiating background checks
Meeting with new hires and providing initial orientation
Ensuring completion of necessary new hire documents
Verifying I-9 documentation
5% Other Essential Functions
High School Diploma/GED
4 years office experience to include 1 year of payroll experience. Training/education may be substituted for some of the years of experience.
Experience with a Human Resource Management System.
Experience with MS Office Suite
Associate of Arts (A.A.) or Associate of Science (A.S.) degree
Human Resource Generalist Certificate or related certification
Experience with administration of an electronic time or absence system
Experience with University of Minnesota policies and procedures (e.g. FMLA)
Experience with policies and procedures as they relate to various employee group contracts (Teamsters, AFSCME, Professional & Administrative, Civil Service and Faculty).
Experience working collaboratively with all levels and types of positions within an organization
