We are currently seeking an energetic, innovative, and self-directed individual with demonstrated communication skills for an Assistant Authority Clerk I or II role, depending on qualifications and experience. The position will be responsible for agenda coordination for board and committee meetings; ensuring compliance with Corporate Governance, Financial Reporting and Ethics laws and regulations; and reviewing agenda reports and materials for completeness and compliance with established policies and procedures.
The Assistant Authority Clerk I is the entry level class providing clerical and administrative support, and the essential duties include:
Assist with preparation of board and/or committee meetings and ensure agenda and materials are distributed as required; generate action items, notices, postings, and finalize minutes and resolutions; assist with the facilitation of meetings and track attendance; participate in the implementation of conflict and economic interest, ethics and lobbyist tracking.
Attend and prepare meeting minutes; process and maintain adopted resolutions consistent with governance and internal controls; assist with managing official documents maintained by the department.
Shape perspectives and make presentations; contribute to discussions on design, formulation and communication of goals and objectives; resolve issues and challenges; participate in process designing, redesigning and integration of operational practices and resources.
Complete research, benchmark and generate reports, written materials and learning plans; keep current with industry trends and sustainable practices; perform related duties as assigned.
The Assistant Authority Clerk II position is the advanced professional level in this class and is distinguished by the performance of the full range of duties, including preparing complete arrangements for board and/or committee meetings, and providing guidance and supervision to other clerks. In addition to the duties enumerated above, the Assistant Authority Clerk II position also performs the following:
Build collaborative relationships internally and externally and establish clear channels of communication on sharing of board information; interpret and share legal, regulatory and compliance requirements clearly and logically.
Coach and foster teams, competencies, accountability, development, diversity, inclusion, learning, customer focus and productive work environment; recognize and reward achievements and complete corrective actions.
Contribute to the coordination of learning and continuing professional development opportunities for self, team members and stakeholders.

Assistant Authority Clerk I:
Graduation from high school or G.E.D. equivalent; and
Four years of increasingly responsible office administrative or secretarial experience;
Or an equivalent combination of training and experience.
Certification as a Certified Municipal Clerk (CMC) and Notary Public is desirable.
Assistant Authority Clerk II:
Graduation from a college or university with a major in business, management or public administration, or a closely related field; and
Five years of agenda preparation, meeting minutes and interpretation of regulations experience, of which three years were in a supervisory capacity.
Or an equivalent combination of training and experience.
Certification as Certified Municipal Clerk (CMC), Master Municipal Clerk (MMC) and Notary Public is desirable.
Depending on experience, hiring reward for Assistant Authority Clerk I is up to $57,000; hiring reward for Assistant Authority Clerk II is up to $95,000.
