To perform a variety of administrative duties involved in the operation of the Division of Natural Sciences and Engineering and its faculty ( 25 full-time and 10-20 part-time faculty); to apply policies; to balance priorities; to work with limited supervision; to use independent judgment; to maintain confidentiality; and create and maintain positive interactions with students, faculty, and the public.
- Liaison with students by preparing welcoming email for new students, answering questions or redirecting to appropriate person or information source. Keep departmental forms updated. Assign advisors; maintain complete and accurate database and files of students. Assist students with registration and enrollment tasks. Organizes registration events.
- Perform Human Resources hiring functions for full- and part-time faculty and staff for NSE and the Watershed Ecology Center. Prepare contract letters, P2s, etc. for part time faculty and staff; receive, prepare applicant files, and maintain those files during position searches. Assist with administrative functions, including meal and travel arrangements, and filing of documents during searches.
- Provides direction to faculty and student workers' on administrative systems related to employment. Prepare travel authorizations, expense reports and payment requests. Process reimbursements and organize receipts. Assist the laboratory manager with purchasing & other tasks.
- Answer phone, take messages, redirect caller to appropriate person or office. Defines to prospective students, and the general public, division degree programs and directs to appropriate offices or digital resources. Sort incoming mail. Maintain and order supplies. Submit work and key requests. Attend NSE meetings and record minutes when requested. Perform other tasks as directed by chair.
Advertised Minimum Qualifications :
Bachelor’s degree and 2 years of experience that is directly related to the area of employment, or high school diploma and 6 years work experience that is directly related to the area of employment; or equivalency. Successful background check.
