Vanderbilt University's BassMilitary Scholars Program provides significant financial aid and programmingsupport for an annual cohort of military veterans pursuing graduate andprofessional degrees and is open to students in five of Vanderbilt's schools:The Law School, Owen Graduate School of Management, Peabody College, School ofMedicine and School of Nursing. The program was established with a gift of $25million to honor the leadership traits and commitment to service embodied bycurrent and former members of the U.S. military.
Duties and Responsibilities
The responsibilities of theBass Military Scholars Program Coordinator position may include, but are notlimited to:
Manage budgetary allocationsthrough the fiscal year
Acts as the primary purchasingagent for the program in the procurement of supplies, equipment, andentertainment using the appropriate method, i.e., departmental, One Card, eProcurement,Non-PO Payment Requests, etc.
Recommends allocations of VUoperating funds for purposes of budget forecasting
Presents recommendationsregarding VU operating budget for next fiscal year, provides feedback tosupervisor if approved budget deviates from proposed
Tracks & monitors expensesin accordance with the approved budget and purchasing requirements
Maintains and processesinternal system of expense requests to ensure purchases are approved in advanceat the appropriate level
Represents the Bass MilitaryScholars Program to Scholar candidates with a high degree of professionalismand confidentiality.
Reviews and processesscholarship applications in preparation for selection committee review,including creating digital and physical application dossiers, tracking theindividual status of approximately 50 applications, communicating directly withScholar applicants as necessary, providing status updates to the Director andAdmissions personnel, and navigating application software systems to producerequired documentation and reports.
Maintains and updates thewebsite with information on the application process.
Processes, monitors, andtracks all scholar communications ensuring confidentiality.
Interfaces with the currentBass Military Scholars to facilitate, plan and execute orientation activities,events, programs, and meetings.
Assists with program marketingand recruitment, including requesting, preparing and reviewing written andvisual materials such as program brochures, flyers, and information sheets.
Drafts press releases asnecessary.
Maintains an awareness ofUniversity initiatives, events, and programs in order to keep current scholarsupdated on pan-university activities in the facilitation of their servicerequirements.
Interfaces and communicateswith Bass Military Scholars Program alumni to create a community of support foractive scholars and program alumni.
Handles all formalcorrespondence for the Director of the Bass Military Scholars Program.
Conducts all schedulingcoordination and travel arrangements for the Program Director, includingscheduling meetings and managing the Director's calendar.
Profile of an Ideal Candidate
A Bachelor's degree from anaccredited institution of higher education is necessary.
At least one year ofexperience is necessary.
Experience in enrollmentmanagement and university admissions is necessary.
Experience with admissionsoftware systems, including Slate is necessary.
Military experience orfamiliarity and appreciation for the armed services is necessary.
Advanced experience withMicrosoft Office Suite: Word, Outlook, Excel, and PowerPoint is necessary.
Strong organizational skills,experience with project management is necessary.
Ability to multi-task andfollow-up, attention to detail is necessary.
Ability to function independentlywith minimal instruction and to collaborate with others in a team environmentis necessary.
Previous experience withVanderbilt user systems including, but not limited to Oracle is preferred.
