Columbia's Manhattanville campus is designed to bring together diverse academic disciplines while welcoming the wider community to experience a shared space for civic life. The Forum is a new multipurpose venue able to host an array of academic conferences and public forums. The building's upper floors feature a 430-seat auditorium, gathering spaces, and five meeting rooms with state-of-the-art technology. The ground floor is utilized for a range of activities, from exhibits to University events as well as educational programming and other community functions.
Reporting to the Director of Events and working closely with the Manager of Events and Communications, the Event Coordinator assists in the planning and implementation of programs ranging from small-scale gatherings to high-profile, large-scale, impactful events. Under guidance of Event Manager, works on pre-event planning as well as implementation and execution of events at The Forum.
Establishes relationships with event partners to facilitate efficient event execution.
Works directly with vendors and assists in managing vendor relations.
Provides informational resources to planning partners.
Provides on-site management and support for events, ensuring accurate and complete execution of all event logistics.
Tracks event details in shared event planning tools (e.g., EMS, Social Tables), ensuring timely and accurate data entry of related activities.
Facilitates event related budget and expense tracking and management.
Manages event promotion including via internal and external signage and calendars.
Manages office and event related inventory including the production of printed collateral and other materials. Arranges for timely restocking of event materials and supplies.
Performs other duties as assigned.
Bachelor's Degree or equivalent required.
Minimum of one year of related experience is required.
Excellent customer service orientation and people skills with ability to build and foster relationships with diverse constituencies.
Exceptional attention to detail and the ability to perform non-routine work with changing priorities and collaborating parties, while maintaining a high level of customer service and professionalism in a fast-paced environment.
Ability to successfully represent The Forum and the University to high-profile event stakeholders.
Demonstrated experience in project management, from conception to completion.
Computer literacy including proficiency in the Microsoft Office Suite and experience with event or catering software programs.
Familiarity with RSVP platforms and social media outlets.
Desire to work in a collaborative environment that values innovation and creative problem-solving.
Experience in graphic design, web content management, or social media management.
Must be able to work flexible hours, including frequent evenings and some weekends.
