We are looking for an individual to join us in a temporary capacity who will provide essential support to our division staff and Human Resources team. While supporting a full spectrum of HR activity, The HR Assistant will:
Initiate and troubleshoot Workday HRIS transactions; ensure that all actions are timely, complete, and accurate and that all required processes, procedures, policy, contractual and legal requirements are met; initiate routine Workday transactions and act as main resource in answering any Workday related questions
Screen, interview, assess, and recommend non-exempt applicants as needed for identified positions, including serving on search teams and advising members about appropriate search processes.
Create requisitions in Workday for new positions and post positions in applicant management system. Share applicants, move applicants, process offer letters and close positions. Conduct background checks as appropriate. Assist with arranging for relocation services as needed. Verify all information is complete for search file and maintain search file, EEO applicant reporting
Deliver a range of HR functional support to the division of Alumni Affairs and Development while ensuring compliance with federal, state, and local laws, as well as University and division-wide policies and procedures.
Provide information, advice, and guidance to ensure the consistent, effective, accurate and compliant interpretation and application of human resource programs, policies and procedures,
Provide complex data reporting and analysis to support business decisions; analyze data and provide summary of observations for a wide variety of management and decision making uses, including identifying trends and/or gaps in the data; prepare complex reports, spreadsheets, graphs, presentations and recommendations.
Proactively coordinate staff leaves, including NYSPFL, FML, short- and long-term disability, and Worker's Compensation, ensuring that the necessary paperwork is on file and that appropriate, timely advice and counsel is provided to staff, managers and supervisors.
Meet with individuals prior to any leave, when appropriate, to review policies and procedures and provide them with options and all required documentation for the impending leave.
Deliver effective training programs to support human resources initiatives in partnership with our training and professional development team
Assist in implementing activities that will assist in creating an environment of inclusion, respect and trust
Organize and respond to a high volume of information and inquiries in a professional and timely manner with very high attention to detail, follow-up and accuracy;
Establish partnerships with and serve as a liaison between Admin HR/AAD team and affiliated units, including HRIS, Payroll, Benefits, Medical Leaves Administration, BSC and other units across campus
What we need:
We are looking for a HR Assistant who will energetically approach their work with a learner mentality and who has demonstrated ability to use sound judgment in decision-making, with the ability to multi-task and leverage advanced/expert skills in Excel. The HR Assistant will have experience and proficiency working both independently to execute tasks and collaboratively within a team environment to pursue solutions to challenges.
Candidate will have:
Associates Degree with 2 to 4 years related experience in human resources, business, or related area; or equivalent combination of education and experience.
Mature interpersonal skills; excellent customer service skills.
Must be able to work effectively with diverse groups.
Excellent organizational and interpersonal skills with emphasis on attention to details.
Demonstrated advanced skills and experience in standard business software such as the Microsoft Office suite-Expert knowledge of Outlook, Excel, PowerPoint, Word, spreadsheets, databases, networked informational systems, the internet, and communications systems.
Microsoft Excel mastery
Demonstrated the ability to manage, manipulate and analyze data to meet various operational needs.
Ability to manage multiple priorities and quickly change direction and re-prioritize.Must be highly self-motivated and show excellent time management skills.
Demonstrated effective written and verbal communication skills, and experience building effective relationships with key clients and stakeholders
Outstanding customer service skills and the proven ability to maintain professionalism and confidentiality at all times while handling sensitive information
Demonstrated ability to organize tasks effectively, prioritize a high volume of inquiries and assignments, and follow up on issues with tremendous diligence and attention to detail.
Our ideal candidate will have at least 5 years of experience working in a fast-paced, high volume HR or operations context or have additional education in HR or business, advanced experience with recruitment, reporting tools, project management skills/software and/or HRIS database management such as Workday.
