The Planning Assistant position provides planning and project support and coordination for Sr. Planners/Sr. Project Managers. The position will assist in space utilization reviews, field verification, benchmarking, and analysis of data and preparation of planning deliverables as well as vendor coordination on projects.� The assistant will manage calendar scheduling for their projects. The assistant will also prepare agendas, attend meetings, take notes and track action items on their projects.
PRIMARY DUTIES AND RESPONSIBILITIES:
Collect space utilization and existing condition information relative to current planning initiatives. Document those findings. Assist Sr. Planners/Project Managers in analysis of findings and preparation of deliverables/presentations.
Prepare agendas, attend meetings, take notes, track and follow up on action items for projects assigned to assist Sr. Planners/Sr. Project Managers with.
Research best planning and project practices relative to current planning initiatives and projects. Compile and compare findings to that of current initiatives and projects. Provide documentation and presentation citing references.
Field verification and documentation of existing items/spaces and newly acquired/newly constructed spaces.
Assist Sr. Planners/Sr. Project Manages with soliciting vendor proposals and vendor oversight.
Communicate with Sr. Planners/Sr. Project Managers regarding efficiency, accuracy, progress and/or delays on assigned projects and assists with planning and projects as assigned by the planning or project management team.
Performs other duties as assigned.
Bachelor’s degree in field related to activities in facilities management with a minimum of one prior intern or entry level experience in planning or business.
Energy and enthusiasm - consistently maintains high levels of activity and productivity.
Attention to detail - careful and quality oriented.
Communication - clearly conveys information, excellent writing skills.
Assumes responsibility - self-starter, willing to interact as a team player, and take independent initiative. Works proactively in solving problems and takes action beyond normal responsibilities.
Computer proficiency – Microsoft Office and a Windows environment.
The hiring range for this position is $15.99 - $19.99 per hour.
