Coe College is seeking qualified applicants for the position of Special Projects Coordinator and Assistant to the Vice President of Advancement.
The Special Projects Coordinator and Assistant to the VP of Advancement (“Coordinator/Assistant”) is responsible for assuring the successful planning, organization and execution of special projects of importance to the advancement team and Coe College. Examples of initiatives include special recognition events, micro-fundraising campaigns, affinity events, support of special programming with key stakeholders, etc. In addition, the Coordinator/Assistant directly supports the VP including assisting with scheduling, stakeholder relationships and communications, prospect management and administrative support as needed.
Essential Job Responsibilities:
Prioritizing with the Advancement VP, the Coordinator/Assistant works with other members of the Advancement team and utilizes the resources of the college to achieve the following broad objectives:
Support the VP of Advancement in areas of scheduling, travel arrangements, prospect management and reporting, and correspondence.
Provide support to Advancement staff to ensure the coordinated success of special fundraising campaigns, including oversight of related communication activities (web updates, media acknowledgements, and letters/emails), maintaining campaign budgets, coordinating events, and maintenance of timeline and activities.
In coordination with other team members, assist in facilitating a welcoming environment for visitors to the Advancement Office, including answering phones, greeting guests, providing responses and answers to questions on the behalf of the department to colleagues, students, parents and friends of the college, and providing back up for the Alumni and Coe Fund administrative support positions.
Support the VP’s work with the college’s Board of Trustees, including working to prepare the agenda for and serving as secretary to the Advancement and Trusteeship Committees of the Board.
Draft and coordinate communication from the department, including preparing emails, letters, and reports for the VP and other fundraisers.
One or more years of experience in fundraising, stewardship, or event planning with a demonstrated track record of success in relationship cultivation and fundraising.
One or more years of experience with project management/coordination and administrative support.
Bachelor’s Degree required.
Successful completion of a background check in accordance with Coe College policy.
Knowledge, Skills and Competencies:

Outstanding proficiency in writing and editing.
Computer proficiency in Microsoft Office Suite required. Capacity to learn and work within department specific databases such as Jenzabar and IModules.
Ability to handle multiple tasks and projects simultaneously to successful completion in a fast-paced work environment.
Ability to work independently within given direction and collaborate with others in support of departmental objectives.
Demonstrated understanding of fundraising and prospect management.
Dedication to the educational mission of a private, residential liberal arts college.
Ability to maintain positive relationships in a collaborative and diverse team atmosphere.
Commitment to excellent customer and/or student service.
Demonstrated ethical and responsible decision making.
